Tardis Environmental UK Ltd are a well-established portable toilet and tanker hire business that operate a large fleet of HGV and LGV vehicles across various locations situated throughout the UK. We hire temporary waste and water solutions from 1000ltr waste and water storage tanks up to 30.000ltr storage tanks. Currently members of FORS and hold Gold accreditation.

We are currently looking to recruit a **Administrative Assistant** based out of our **Telford** Depot.

Hours: 8am to 5.00pm

**Salary**: £25,000 to £27,000 depending on experience

**Purpose**

As an administrative assistant you will have excellent communication skills and impeccable attention to detail. As directed you will undertake all duties as required and manage the purchasing inbox and action requests in a timely and consistent manner in line with the company’s policy.

You will also be expected to assist other members of the Tardis Management team to ensure all policies and procedures are adhered to in line with Tardis standards and current legislation therefore an ability to multitask, manage complex schedules, and meet changing deadlines is essential.

**Key Duties**
- Provides administrative support to ensure efficient office operations.
- Answers phone calls, assist with queries and ensure appropriate action is taken to resolve.
- Manage travel arrangements for employees as required
- Check and monitor fuel usage to maintain stocks across all locations at all times
- Drafts and edits reports, and other documents.
- Ensures that deadlines are met and adapts to changing priorities.
- Raise purchase orders on Sage 200 system
- Place purchase orders with approved suppliers, liaise with those suppliers for delivery dates and communicate that information to the business and update the company operating system accordingly.
- Obtain and manage water, gas and electricity readings across all depots on monthly basis
- Maintain and update system to ensure suppliers, prices and all relevant information is always recorded accurately.
- Report monthly on spends, savings, etc to directors for review.
- Maintain good working relationships with providers across the business.
- Work closely with the accounts department to ensure invoices are processed in a timely manner and any queries are resolved.
- Ensure all invoices are checked and signed off prior to processing for payment.
- Be involved in contract renewals, to ensure best terms achieved at all items.
- Be first point of contact for new product sourcing.
- Look to improve and implement changes to benefit the company moving forward.

**Education and Experience**
- Experience and knowledge of administration is essential.
- Sourcing and negotiating experience preferred but not essential
- Great Communicator at all levels
- Be proactive and able to use own initiative
- Strong attention to detail
- Proficient in Microsoft (Excel, Word, Outlook)
