Role Summary The role of the Logistics Supervisor is to supervise all relevant Logistics assistants and support the delivery of Logistics activities across the Trust site; providing an efficient safe and secure goods supply service whilst ensuring agreed service levels are maintained. The post holder will be a member of the Logistics team and will be required to adopt a flexible attitude and to develop skills to enable them to fulfil the responsibilities set out below; Key responsibilities MAIN TASKS / OVERVIEW OF RESPONSIBILITIES Principle duties & accountability To contribute to the preparation of and to deliver the procurement strategy; this will include: Day to day Supervision of logistics staff, planning daily work schedules. To provide operational cover when required to Logistics Officers on the Materials Management and Receipt and Distribution Teams. To work closely with colleagues to ensure rotation/resilient staff coverage across all HPL organization(s) in the event of absences.
To provide operational cover when required to the Supply Chain Manager/Supervisors across all HPL organization(s). Responsible for stock control, delivery, re-ordering, rotating and replenishment service for an agreed range of fast moving consumables used by customers (in accordance with trust procedures). This work involves lifting, carrying, climbing and a high level of concentration with frequent moderate effort over long periods. To provide a first check on the quality of the goods received, and to report any obvious damages or discrepancy, in accordance with Trust procedures.
This process is imperative to ensure credits obtained meet budgetary limits. To report any discrepancies with the supplier immediately. To move goods throughout the Trust site for most/every shift, move heavy cages, pallets and parcels and move heavy items. To ensure that all paperwork is completed correctly by wards/depts and that all paper based records are correctly recorded and maintained To liaise with suppliers regarding delivery commitments/returns.
To provide planning for bank holiday delivery schedules across all HPL organization(s). Work with departmental clinicians / support staff to ensure the correct equipment, medical consumables and services are available for patient care To provide support to organisation(s) with the receipt and distribution of goods in regard to pandemic requirement (PPE). Action Medical Device Alerts (MDA) to ensure compliance with national instructions relating to equipment / products safety. To remove/quarantine any items covered by Field Safety Notices (FSN).
To accurately record data with regards to areas affected. To ensure that all deliveries are accounted for and receipted within 24 hours of delivery. To check the accuracy of the supporting documentation of delivered goods, taking full responsibility that this process is done correctly and efficiently To ensure that all paperwork is completed correctly by wards/depts and that all paper based records are correctly recorded and maintained The Logistic Supervisor is expected to ensure that individual knowledge, expertise and lessons learned will be shared across all HPL organization(s). To have a working understanding of the relevant sytstems to ensure all requisitions and orders comply with the organization(s) policies.
Provide guidance and support to junior members of the team to enable them to achieve individual and team goals and objectives. To present the procurement function as a progressive, proactive, responsive and innovative department. Ensure that an effective and efficient procurement service is provided to all end-users. To provide support to the Supply Chain Manager with the use of Trust inventory management and procurement systems across all HPL organization(s).
To support the department with the implementation of GS1 standards working within an operational sub-group to develop systems and processes which support the delivery of GS1 standards. Physical Skills Knowledge and use of a range of systems is necessary including specialist procurement systems (training provided) There will be a frequent need to concentrate, whilst working within busy locations The post-holder will need to accommodate working with frequent interruptions. This will require prioritising demands whilst maintaining a professional and caring attitude: e.g. telephone or personal visitors, or interruptions which may require the current task to be deferred or modified, in order to deal with an urgent requirement Manual handling and lifting skills required Assist with the physical distribution of goods when necessary Communication and network development The post holder will be required to engage and influence key stakeholders using a variety of communication methods to ensure appropriate, relevant and timely involvement in procurement activity is achieved this may be during Strategy refresh, during work planning periods and as part of routine procurement or project activi
