We are looking for an experienced Executive Assistant with an enthusiastic ‘can-do’ attitude who embraces teamwork with a positive mindset to join our dynamic Provider Collaborative Business Management Office team

The role is wide ranging and quite operational in that they will be providing an admin role to the directors for the Provider collaboration, however there is also the need to support the joint cell which cascades information across the 5 Trusts

You will work collaboratively to ensure that resources are used flexibly to meet demand, including appropriate office cover and the provision of assistance in times of particular pressure in any area.

The role is part of a small team who cross-cover each other and as the PC is evolving it is quite an exciting role to use a number of skills to multi-task and action requests very quickly

You are required to support the Business Management Office for the Provider Collaborative, in particular the Provider Collaborative Directors and the Lancashire and South Cumbria Joint Cell. You will undertake a range of administrative tasks, taking personal responsibility and initiative for assigned projects as required, in addition to providing a comprehensive secretarial and administrative service.

You will be handling highly contentious and very sensitive confidential information of a personal and political nature.

You will be expected to work flexibly to support other Executive Directors across the wider Provider Collaborative Business Office and provide cross-cover during periods of leave.

A high level of experience as an Executive Assistant to an Executive Director is required and the post holder will need to have an in-depth knowledge of the working environment.

**DUTIES AND RESPONSIBILITIES**:

- Responsible for providing a confidential administrative service to the Provider Collaborative Directors, including dealing with sensitive or contentious information, together with staffing and financial information of a highly confidential nature. This could include politically contentious issues such as hospital/ward closures, salaries, performance, future employment etc.
- Work autonomously using own initiative in the absence of the Provider Collaborative Directors and make quick and accurate assessment of urgent/delicate situations that can be addressed by appropriate colleagues to provide solutions and avoid disruption. This can involve complaints from staff, patients and the public which need to be dealt with quickly and diplomatically, as well as providing advice on procedures and protocols which need to be followed
- Develop and establish effective administration systems to ensure the smooth running of the Provider Collaborative Business Office including effective filing. Maintain effective office systems, making maximum use of technology with the aim of achieving a paperless office.
- To organise and plan the workload, diary and commitments, including scheduling of formal and complex meetings, functions, conferences including finding venues, preparing papers, ensuring appropriate equipment is set up and booking hospitality as appropriate. The post holder must also communicate diary information to others as appropriate including annual leave and cover arrangements.
- Arrange travel and accommodation as required.
- Operate a bring forward system for the Provider Collaborative Business Office including chasing responses on actions and the retrieval of appropriate paperwork. Undertaking research as required to provide a comprehensive brief prior to diary commitments to alert of any problems/difficulties in advance.
- Ensure Provider Collaborative Directors have appropriate briefings and supporting paperwork prior to, and when attending meetings.
