**Contract Type **12 month fixed term - St Giles Shops (Hospice)
**Location **St Giles Hospice - Whittington
**Hours **37.5 (5 days out of 7)
**Annual Salary **£23,349 (Band B1)
**Job purpose**
As the Retail Operations Assistant you will provide effective support to the whole of the retail chain. A pro-active and forward thinking individual you will be highly organised and have strong IT skills.
Reporting into the Deputy Retail Operations Manager you will be part of the Operations team based out of the Hospice at Whittington.
You’ll know how to work to deadlines and understand the importance of team work. You will recognise the need to recruit volunteers to support the operation and you’ll supervise them in their day to day volunteering with us.
The Retail estate includes 21 shops and e-commerce operation with a turnover of approx. £3million which supports the overall income generation strategy.
**Key tasks and responsibilities**
The role entails but is not limited to:
- **Key Objectives**
- Lead on Gift Aid notification process as required
- Lead on New Goods processes to ensure stock levels are maintained to the agreed levels, stock counts are carried out at agreed intervals and that the stock system is accurately updated to minimise financial loss
- Log all retail volunteering data on the appropriate database
- Recruit and manage volunteers to support in the work of the retail operations team at Whittington.
- Maintain and update the retail sharepoint
- Support with H&S administration for the retail estate ensuring that stores are compliant
- Support in the management of the Retail Acopia account
- Lead on the booking in of collections via the Box Move service, promoting online bookings where possible.
- Work closely with the Deputy Retail Operations Manager to ensure that all elements of the Box Move service is working harmoniously and supporting the goal to increase profitability in this area
- Work with the Hub Manager to arrange collection/delivery of office activity to be distributed to the shops via the van driver team.
- Support the Hub Manager around all areas of the retail van/s general maintenance to ensure the van/s is roadworthy at all times including Tax. MOT & Servicing.
- Support the Deputy Retail Operations Manager on longer term projects to support the retail strategy
**Leadership and Team Work**
- Engage your volunteers to ensure that they understand the direction of travel regarding the development of operations team and retail estate.
- Develop volunteers, and act as a role model to motivate volunteers to drive forward their own performance, providing support and team leadership to drive operational excellence
- Champion volunteer recruitment, retention and empowerment in order that we have an involved volunteer base supporting our retail operation.
- To be an ambassador for exceptional customer service
- Establish good working relationships and liaise closely with other colleagues internally to support cross organisational working and best practise.
- Establish good working relationship with supporter and third party organisations.
- Communicate effectively with all colleagues promoting open and transparent dialogue.

- Ensure a culture of wellbeing is promoted through best practice
- Commercial & Operational
- Support in the purchasing of New Goods
- Working collaboratively with the Deputy Retail Operations Manager and wider Retail SLT to develop new ways of working/new processes that become standardised part of the Retail Operation’s remit.
- Work closely with the wider Retail, Operations, Development and SLT team in order to ensure there is joined up approach from the ground up.
**Policy, Procedure, Compliance & Risk**
- Ensure that all St Giles Hospice policies and procedures are adhered to within your area of work.
- Use all relevant St Giles tools to support your knowledge and compliance in best practise
- To ensure all mandatory training including e-learning is completed.
- To adhere to all Health & Safety policies across St Giles Hospice premises.
- Through liaison with the Deputy Retail Operations Manager, ensure compliance with regards Health and Safety legislation in your area of work.
- Safeguard that all incidents are logged on the relevant database and flagged to the Deputy Retail Operations Manager.
- Ensure you are data protection compliant, flagging breaches as or if they occur.
- Operate as an ambassador for Retail, seeking out potential opportunities and threats and ensuring these are communicated to the Deputy Retail Operations Manager as appropriate.
**Other Responsibilities**
- To undertake any reasonable requests by the Deputy Retail Operations Manager or the Deputy Head of Retail to support the operational needs of the business.
