We are looking for a motivated and friendly individual to join our team as a receptionist/office administrator. In this role, you will be responsible for a variety of essential tasks, including greeting clients, managing phone inquiries, and performing general office duties. You will also assist with scheduling appointments, maintaining office supplies, and ensuring a welcoming atmosphere for both clients and staff.
- Answer incoming calls professionally to provide information and direct inquiries.
- Welcome all clients and visitors to create a friendly and professional atmosphere.
- Oversee room reservations and manage the central Reception calendar
- Maintain a clean and organised Reception area and interview rooms.
- Maintain accurate staff and visitor signing in/out sheets for records and security.
- Organise tradesmen visits for maintenance issues, such as plumbing or electrical work.
- Occasional general typing duties.
- Retrieve and distribute incoming faxes efficiently.
- Prepare outgoing mail for courier collection, monitor the letterbox for deliveries, and manage postal supplies, including stamps.
- Scan client documents for identification and route them to the appropriate personnel.
- Facilitate card payments both in person and over the phone.
