Office Administrator

**JOB PURPOSE**
To provide administrative coordination and accounts support to the onsite team, setting up and maintaining systems and managing processes to assist in the effective operation of this team. Management of expenditure of the service charge to ensure that we adhere to the set budgets. To act as the first line of contact for the on-site team as well as manage external enquiries. To assist in the implementation of projects as required.
**KEY RESPONSIBILITIES**
Financial
- To be responsible for the efficient processing of all invoices, in accordance with company procedures and processes.
- To be responsible for managing all invoice queries tracking invoices.
- Assist Centre Manager with preparation of relevant reports.
- To manage all financial aspects including cheque requests, invoicing and reporting.
- Coordinate with Blackpool rates office about incoming and outgoing tenants, landlord’s fees and queries.
- Maintaining the Petty Cash account and always keeping an up-to-date record of income and expenditure.
- Coordinate with Utility providers with regards to incoming and outgoing tenants, landlord fees and queries.
- Coordination of Mall Income.
Product & Service
- To be responsible for dealing with telephone enquiries in a polite and courteous manner.
- To be responsible for ordering and management of all office supplies and stationery.
- Co-ordination of IT support / telephone systems.
- Management / Analysis of footfall data.
- Assist with the administration of site contractor procedures.
People
- To liaise with on-site team and tenants, working to always develop excellent relationships.
- To develop close working relationships with the Workman team.
- To take part in company training courses.
- To build positive working relationships with external agencies and partners.
- Assist the management team covering weekends, bank holidays, emergency call outs and extended opening hours as required.
General
- To ensure all company policies are understood, communicated and adhered to as appropriate.
- To assist in the crisis management of incidents in the shopping centre, acting as a fire warden when required.
**Job Types**: Full-time, Permanent
**Salary**: £20,000.00 per year
