As we continue to grow, the opportunities grow too. Due to our plans, we are looking to complement our existing teams with a Fleet Administrator.
Job Role Overview
The Fleet Manager is part of the operations team, reporting to the Procurement and Resource Director. They should have excellent communication skills, interfacing with the project team, field engineers and customer interfaces. Virtua UK have a 60 strong vehicle fleet used by our diverse range of Engineers to ensure customer satisfaction is always met. You will be the focal point of all vehicle related issues with the key emphasis being to keep down time to a minimum so as to not impact the business.
**Roles and Responsibilities**
- Produce accurate weekly & monthly reports on vehicle movements, speed reports, fuel use and vehicle damage.
- Liaise with suppliers and drivers to ensure our vehicle fleet is maintained to the highest standard.
- Ensure vehicles are added to insurance, congestions charge and the asset register
- Raise Purchase orders where appropriate
- Approve invoices for both short and long term vehicle hire and fuel expenditure
- Process penalty charge notices, fines and the associated documentation
- Raise trouble Tickets on our internal system detailing fleet related issues ensuring tickets are actioned and rectified
- Ensure all vehicles are serviced and MOT on time in line with statuary obligations
- Be sole point of contact for fleet related issues for field Engineers and suppliers
- Order, issue and track the use of company fuel cards
- Assist with the induction/leavers process of vehicles plus the allocation and returns process
- Act in a positive and constructive way to help develop continuous improvement throughout all areas of Fleet.
**Qualifications & Experiences**
- Strong Microsoft Office skills
- Driving license
- Good communicator
- Excellent administrative skill
- Well organized
- Previous Fleet experience preferred but not essential.
