Thirsk Doctors Surgery

The following are the core responsibilities of the Medical Secretary / Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

- Typing letters, reports and associated documentation as required by the GP's and management team
- Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
- Maintaining an accurate referrals database
- Processing letters as requested
- Processing referrals using the electronic referral system (ERS)
- Produce meeting agendas and record the minutes of meetings when required
- Processing requests for information i.e., SAR, insurance/solicitors' letters and DVLA to the administrators
- Process personal, telephone and e-requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Signpost patients to the correct service
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Clinically code data on the clinical system
- Photocopy documentation as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into patients' healthcare records as necessary
- Manage all queries as necessary in an efficient manner
- Carry out system searches if requested
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and notice boards
- Support all clinical staff with general tasks as requested
- Partake in audit as directed by the practice manager when required
- Support administrative staff, providing cover during staff absences
- Scan patient related documentation and attach scanned documents to patients' healthcare records
- Complete opening and closing procedures in accordance with the duty rota
- Order and monitor stationery supplies
- Produce, maintain and participate in the receptionist rota for lunch and out of hours cover
- Partake in mandatory eLearning and face to face training
- Support the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room
- Administrative Tasks
- Any other Reception tasks as delegated by the Reception Manager e.g. Deductions, baby immunization clinic appointments, cervical screening appointments and accompanying correspondence

Hours of work: Mondays 07:45 to 17:15 = 8.5hrs (1 hour unpaid lunch break) Tuesdays 08:30 to 18:30 = 9hrs (1 hour unpaid lunch break) Wednesdays 07:45 to 17:15 = 8.5hrs (1 hour unpaid lunch break) Fridays 08:30 till 18:30 = 9hrs (1 hour unpaid lunch break)

**Job Type**: Permanent

**Salary**: £10.28 per hour
