**EQUANS is looking for 3 x Helpdesk Coordinators to join our team on the University of Cambridge contract, based at Laundry Farm CB3 9LH. These are full time roles working 37.5 hours per week. On offer is a competitive salary and excellent benefits package.**

**What will you deliver?**
- Collaborate with external service providers and vendors to ensure timely and effective delivery of maintenance services and supplies.
- Dispatch work to both direct labour and contractors in a timely fashion based on the correct skills sets, geographical location and service delivery arrangements.
- Hold regular Matrix meetings.
- Raise annual PO’s/ variables.
- Review service sheets.
- Extract remedials.
- Prepare quotations and forward to client.
- Update Planon.
- Update WIP.
- Upload certifications on internal systems
- Ensure compliance with statutory and company procedures across all functions.
- Prioritising urgent jobs and plan and dispatch resource to meet urgent demand.
- Undertake other duties as directed by management.
- Manage the completion process and ensure all closures of PPM tasks on Planon.
- Escalate any complaints or issues as deemed necessary.
- Promote customer feedback and surveys.

**Who are we looking for?**
- In a relevant field (e.g., Engineering, Facilities Management, Information Management) or equivalent experience.
- Proven experience in maintenance management, asset information management, or related roles.
- Strong understanding of maintenance techniques, asset management principles, and data governance.
- Proficiency in maintenance management software, databases, and data visualization tools.
- Analytical mindset with the ability to assess data, evaluate risks, and make informed decisions.
- Experience in using Planon or similar CAFM system.
- Experience in scheduling works in line with SFG20
- Experienced in the use of Microsoft Word, Excel and Power Point
- Have exceptional organisational skills
- Ability to handle conflicting workloads and to work under pressure
- Have the ability to develop effective relations with key stakeholders including management, staff, suppliers and Clients Team (Inclusive of Building Managers)
- Have strong communications skills in both telephone and correspondence/report handling
- Experience in an administrative role preferably related to compliance in maintenance assets and payables and ordering processes
- Experience of working with document management systems and managing data
- Experience of developing, managing and documenting processes

This role includes a DBS Enhanced with Barred Lists check therefore ability to pass is essential.
