We are looking an experienced Senior Administrator to support the Finance & Resources team for a Charity based in c London. As Senior Administrator you will be a key member of the team providing support across teams including Finance, Procurement, Pensions, Front of House and IT. You will help us deliver a high-quality customer-focused service to stakeholders across the charity.
This is a crucial role for the organisation and as such you will work closely with the head of service to ensure the teams are receiving appropriate administrative support. You will also be directly responsible for the delivery of some key tasks including the preparation and distribution of agendas, minutes for various committees, diary management, administering our Gift Aid processes, updating the website and collation of reports.
You will work collaboratively with the Front of House Manager to ensure that the finance admin tasks undertaken by the Front of House Team are delivered and you will provide support to that team as required.
**Duties**:
- Diary management: Managing senior management calendars, agreeing on dates, arranging meetings including 1:1s and Performance Development Reviews for the Director and their reports.- Newsletter: Assist with the drafting and distribution of 4 quarterly finance newsletter- Archiving: support the preparation and oversee the annual cycle of archive destruction.- Maintaining compliance with Data Protection legislation.- General support to the Finance Team including arranging ad hoc meetings as required.- Annual Report: Assist with document merging and finalisation.- Website: Periodic review and update of the website as required- Duty Roster: Plan and publish the senior manager duty roster each fortnight- Support the Pensions Team for arranging meetings and collating board papers.-
- General Administration across the teams - including but not limited to sending out general communications to stakeholders, drafting letters on behalf of senior management.- Administrative support for Committees including the preparation and distribution of agenda, call for papers, minutes, action logs, meeting dates & arrangementsThe working pattern is negotiable (hybrid), however flexibility is required to ensure support for in person meetings (minuting etc).
