**Hours: 14.5 per week, 7.25 hours per day. Working pattern Tuesday 8am - 4pm and Thursday 8am - 4pm (45 minute lunch break)**

**Weeks per Year: 39**

**Reporting to: School Business Manager**

**Purpose of Job**

To carry out administrative and general office duties, as required, providing an efficient and effective service for the Nursery School, in support of the school’s Bursar. To provide reliable support to the federation’s Strategic School Business Manager across many competing priorities needing accurate and timely administrative support.

**About Us**

Parklands Nursery School is one of nine maintained nursery schools operating within Northamptonshire. They are part of the Foundation for Children Nursery Schools Federation, which incorporates three other maintained nursery schools, and provide full and part time education and care to two, three, and four year olds.

**The Role**
- Answer telephone calls, directing through to the relevant people and helping with queries where possible
- Maintain electronic and manual systems efficiently and effectively in line with the GDPR Retention Policy, as well as file and retrieve documents and reference materials
- Ensure that the reception area is kept smart and tidy
- To assist with the ordering of stationery, materials and resources including first aid supplies and ensuring that stock levels are maintained and passed to the relevant management for approval.
- Maintaining and updating school information, records, and databases. This includes pupil database, assisting with the preparation and raising of invoices, monitoring contributions recording attendance and quotes.
- Receive, sort, and distribute all packages, deliveries, and mail including Distribute incoming mail, frank, and send outgoing mail
- Arrange, co-ordinate and communicate details for meetings, training, and events, including booking meeting rooms and providing refreshments

**Support for School/Federation/Place of work**:

- Participation in staff events by arrangement.
- Attend Staff Meetings.
- Contribute and participate in events and activities where possible.
- Develop and maintain effective working relationships with other staff and parents/carers.
- Adhere to the Federation values.
- Follow nursery school policies, practices and procedures.

**Data security**:

- Act in accordance with legal provisions regulating confidentiality and security of data and information in accordance with GDPR regulations.

**Health and Safety**:

- Be aware of the responsibility for personal Health, Safety and Welfare and that of others who may be affected by your actions or inactions.
- Co-operate with the Federation on all issues to do with Health, Safety & Welfare.
- To work/operate all equipment within Health and Safety and other legal regulations, including risk assessments.
- Physically able to perform tasks set out in this job description.
- Contribute to the maintenance of a safe and healthy environment.

**Continuing Professional Development**:

- In conjunction with the line manager, take responsibility for personal professional development, keeping up to date with research and developments related to school/ Federation/place of work efficiency, which may lead to improvements in the day-to-day running of the nursery school.
- Undertake any necessary and identified professional development taking full advantage of any relevant training and development available, particularly when related to the use of ICT, for data management and record keeping.
- Maintain a professional portfolio of evidence to support the Performance Management process - evaluating and improving own practice.

**Child Protection and Safeguarding**
- The post holder will have a shared responsibility for the safeguarding of all children and young people. The post holder also has an implicit duty to promote the welfare of all children and young people.
- To inform the Safeguarding Leads of any issues relating to the safety and well-being of students.

The post holder will undertake any other duties commensurate with the grade of the post, in consultation with line manager.
