**Role Purpose / Responsibilities**:

- To provide a professional, executive and business support service to the Executive Leadership Team.

**Executive support**:

- Scheduling internal and external meetings and diary management for the Executive Leadership Team (ELT).
- Managing travel arrangements for the ELT.
- Assisting with preparation for senior management meetings, includes the coordination of agendas and supporting papers, managing/monitoring actions and undertaking follow up actions.
- Facilitating meetings and office visits for both Bristol and Watford sites including parking & meeting room bookings.
- Liaising with the EA to the CEO to provide support and cover as required.

**Business support**:

- Maintaining current lists of first aiders & fire wardens at the Bristol office and ensure knowledge and skills are up to date, sourcing and organising training as required.
- Ensuring all first aid equipment, fire extinguisher maintenance & PAT testing is up to date.
- Coordinating and maintaining company health & safety records, carrying out DSE assessments and homeworking assessments, managing the office accident records and maintaining H&S standards within the office.
- Providing comprehensive and timely administration of a small number of company lease vehicles including driving license checks, insurance provision and changeover of vehicles. Keeping accurate records and providing information to payroll on company carusers for annual P11d submissions.
- Developing and managing supplier contracts and relationships e.g. travel, accommodation and office supplies.
- Liaising with suppliers to manage leased equipment, such as photocopiers and other office equipment.
- Ordering and managing inventory of office supplies, including catering, stationery and multimedia equipment to ensure smooth office operation. Managing collection of confidential waste.
- Other ad hoc activities and responsibilities may be assigned.

**Role Requirements**:

- Excellent written and verbal communication skills.
- Proven experience as a PA/Executive Assistant or similar level administrative role.
- Advanced knowledge of the MS Office suite, in particular Outlook, Word, PowerPoint.
- Proficiency in filing and paper management, including the ability to manage business correspondence and handle confidential information.
- Knowledge of office H&S requirements would be advantageous.

- Exceptional interpersonal skills with a friendly and professional demeanour.
- Excellent problem-solving skills, highly adaptable and an aptitude for helping other people.
