We have partnered with this prestigious independent Chartered Certified Accountancy practice with offices Southern England. The firm was established over 45 years ago and currently has 4 Partners and employs over 50 staff. Their clients include a diverse range of corporate and individual businesses, Not-for-profit organisations (including Academies, Schools and Charities) as well as Trusts.

An opportunity to work within the Payroll team has arisen. The team is made up of 16 staff (Manager, 7 Payroll Administrators, 6 Junior Payroll Administrators and 2 Junior Administrators). The department provides bureau payroll services to approximately 250 clients, consisting of both schools and companies. On a monthly basis, the department produces around 12,500 payslips.

Fully Remote Role

As a Payroll Administrator, you will be responsible for 10/15 clients, across multiple pay deadlines, processing c2000 employees in total.

Reporting to te Payroll Manager and working with the whole team.

The Payroll team has been working remotely from home since March 2020. This is a full time position of 37.5hrs per week, from 9am to 5.30pm, Monday to Friday.

Main duties

Process all payrolls from start to finish:

- Starters, Leavers and Permanent data changes
- Process variable data from clients
- Upload pension contributions onto various pension portals e.g. NEST, People’s Pensions, Smart Pensions, Evolve, Standard Life, Legal & General etc.
- Uploading reports and payslips onto the PayDashboard portal
- Manage multiple deadlines for variable data and manage the client throughout the pay cycle
- Audit and check payroll
- Report processing and sending to clients for sign off
- Send reports and payslips to clients
- Produce BACS payment schedule and forward to BACS officer
- Liaise with client and dealing with salary queries
- Completing complex monthly/annual pension returns
- Dealing with queries with pensions administrators / HM Revenue & Customs
- Processing forms P45/P46/P6/P9
- Processing and calculating statutory payments such as SMP, SSP etc.
- Ability to manually calculate pro-rata payments such as holiday pay, hourly/daily rates of pay etc.
- Monitoring and maintaining procedures.
- Monitoring multiple deadlines such as pensions, payrolls, HMRC etc.
- Actively contributing to team meetings
- Attending client meetings
- Maintaining an up to date knowledge of statutory legislation
- Signing off checklist, ensuring timely payroll processes within the department
- Ability to work within a team
- Ad hoc tasks as required

Assisting the team
- Report writing within payroll software
- Assisting other team members to resolve PAYE/NIC queries
- Assisting other team members to resolve complex client queries
- Liaising directly with HMRC to resolve queries
- Providing backup support to the team in the absence of the payroll manager
- Preparing and sending BACS files, as required.

Person Specification

Essential
- Experience - minimum of 2 years’ experience in a similar role
- A good understanding of statutory payroll legislation
- Ability to manually calculate tax and national insurance
- Ability to work under pressure
- Aptitude, skills and abilities - managing client relationships, numerate and computer literate, willing to learn new skills, processes and adhere to strict deadlines

Desirable
- Qualifications - CIPP
- Experience running payroll for a portfolio of clients
- Payrite Software experience
