**Job Description for Office Assistant**

**Reporting to: Director**

**Direct Report: None**

**Building: Millennium Business Centre**

**Hours: 08:30 to 18:00**

**Role**

As an Office Assistant you will provide a comprehensive and confidential service, managing correspondence, diaries, and workload, supporting meetings and providing general administrative support as required. A major part of this role will be managing the sales pipeline to ensure that each and every enquiry is attended to and site visits are arranged. No day will be the same as you will be required to assist in several varied tasks. An interest in real estate is a must to enjoy this role. PSIL encourage all members of staff to bring ideas forward and use their initiative to problem solve.

**Responsibilities**

**Sales**
- Contact agents and provide weekly vacant list of spaces available across the property portfolio
- Ensure that all marketing material is accurate
- Liaise with respective building managers to arrange viewings
- Manage the database of sales enquiries
- Submit reports to the directors of lead generate and conversion rates
- Be creative and find different ways to attract and generate leads
- Ensure that you are familiar with sq ft market rates in which our properties are based
- Conduct due diligence on comparable local properties and assess whether our rates are competitive

**General**
- Manage Director’s diary and ensure meetings are effectively co-ordinated with relevant documentation provided. Arrange meetings / appointments and manage and maintain a comprehensive and up to date electronic diary for the Director
- Organise, support and minute internal and external meetings and produce action logs and follow up with action owners.
- Respond to correspondence and telephone calls as required, using own initiative to reply or obtain further information from the Director, dealing with requests and issues as appropriate, acting as a gatekeeper for the Director’s time as appropriate
- Develop positive relationships with managers
- Undertake projects, monitor and report on performance or contract issues on behalf of the Director
- Develop and implement administrative systems to support business as required
- Maintain filing systems, including those of a confidential nature, in a timely manner to ensure all working files are up to date and prompt and efficient retrieval of information can be achieved.
- Take responsibility for a wide range of delegated tasks including the maintenance and updating of key documents, registers, databases etc
- Monitor incoming post, paperwork, movement of files and preparation and dispatch of routine papers or correspondence for Directors and maintain efficient filing systems.
- Ensure all activities are conducted with confidentiality and, respect at all times
- Contribute to administrative processes for Business Support function, providing cover assistance if required.
- Tasks as delegated by the Director or General Manager

**Requirements**:

- Good/ clear voice
- Able to speak with prospective tenants and arrange site visits
- Able to speak with agents and push our vacate units as a priority
- Knowledge of the property sector is advantageous
- A confident individual who can think outside the box
- Good organiser
- An ability to get things done

**Job Type**: Fixed term contract

**Salary**: £18,000.00-£22,000.00 per year

Additional pay:

- Performance bonus
