JOB TITLE: Medical Secretary

LOCATION: FARRIER HOUSE SURGERY

REPORTS TO: Practice Manager

HOURS: 24 hours per week Monday, Wednesday and Friday

**SALARY**:£20,939.90 pro rata

The role of Medical Secretary is to provide secretarial support to GP’s and other members of the Practice Team.

Specific and general duties/tasks are outlined below. This list is not comprehensive but intended as a guide to the work expected of the post holder.

The usual place of work will be Farrier House Surgery.

The post holder will be expected to adhere to the Health and Safety regulations of the Practice. The post holder must be aware of the Practice requirement for confidentiality at all times.

Job Responsibilities:

- To provide efficient secretarial services for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals etc in an accurate and quality manner.
- Process patient referrals within an agreed time, i.e., 2 week wait (urgent) referrals. Resolving problems with referrals. This includes changes to place of referral and dealing with rejected referrals.
- To make appointments, bookings and admissions as required
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
- To access and retrieve medical records and assist in the completion of medical/insurance records. Log medical insurances/social security reports, prepare paperwork, redact 3rdparty/sensitive information, request payments and monitor settlement of invoices
- Deal with requests for access to medical records from patients, solicitors or insurance companies, ensuring data protection legislation is complied with
- To receive incoming and initiate outgoing telephone calls in order to deal with appropriate queries
- To assist with the gathering of statistics and information when required.
- To provide cover for members of the secretarial team during periods of sickness and annual leave.
- Attend/chair relevant meetings and produce and distribute accurate minute in an efficient manner.

They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data. - The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the Practice Health & Safety Policy, to include:

- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.

- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
