The Fleet Coordinator is part of our People & Development Team, who are responsible for company-wide people, recruitment, insurance, training, fleet, reward and benefits administration. **The purpose of the role** - To deal with the day-to-day Fleet administration across the business, - to work alongside other team members within the People & Development department to provide support and assistance during busy periods and holiday cover for People Team administrative activities **What you will be doing** - Updating the parking, congestion and other relevant accounts with driver changes. - Accepting and providing keys for deliveries and collections of vehicles. - Organising maintenance, repair, replacement and disposal of vehicles and associated equipment - Initial investigation of fleet related issues such as accidents and driver behaviours - Administration of the vehicle accident process - from initial report through to repair, including liaison with insurers, in line with company procedures - Using systems to support drivers on the road with hires and bookings. - Updating trackers and systems with insurance details following incidents on the road as reported by drivers. - Processing company penalty charge notices and traffic contraventions - Monthly reports on usage of various fleet accounts, such as parking and bridge tags. **People Team System** - Maintaining accurate and timely records - Working with Finance to ensure accurate records and payments - Updating systems with vehicle allocations, usage, documentation **General** - Day to day Fleet policy guidance to Managers and Employees -"adhocqueries" - Supporting administration support across the People & Development Team, including mailboxes, post, filing, scanning etc - Updating purchase orders - Protecting the business by ensuring processes are followed and fair - Working with the People & Development Team on projects as required - This job description provides an outline of the expected activities, duties and responsibilities and is not regarded as exclusive as day to day work priorities will undoubtedly provide variations._ **What success looks like** - Internal procedures are followed accurately - Relationships are built within your team, and the wider business, ensuring support and customer service is to a high quality - Becoming a fundamental member of a multi-discipline team - Keeping key stakeholders updated on the progress of the work as required - Working with your team to ensure that work is delivered to the highest standard possible, identifying opportunities for improvement **We’d love to meet someone with** - Excellent administrative and organisational skills, with experience working with Excel for reporting purposes - Excellent attitude and approach to work - Attention to detail and quality of work - Self-reliant, motivated, and enthusiastic - Thrives working as part of a team and is approachable - Good customer care and interpersonal skills - A value driven approach - it is not just what we do, but how we do it that is important at Space.
