As we continue to grow, we are seeking a highly organised and proactive Assistant to the Operations Team to provide high-level administrative and operational support. This role is essential in ensuring the smooth running of our day-to-day operations and maintaining our commitment to excellence.

The Role

Based at our Colchester office near Highwoods, this is a full-time in person position working Monday to Friday, 9:00am to 5:00pm.

While primarily office-based, there may be occasions when you will be required to work from one of our homes to support the Operations Team. Therefore, flexibility is essential, as is access to your own vehicle for travel across Suffolk and Essex. A company laptop will be provided to support your work as will full training.

Key Responsibilities

  • Act as a personal assistant to the Operations Team, providing high-level administrative support.
  • Manage diaries, coordinate meetings, and schedule appointments.
  • Take accurate and detailed meeting minutes and distribute them promptly.
  • Prepare and organise documents, reports, and presentations..
  • Handle correspondence (email, phone, and written) with professionalism and confidentiality.
  • Participate in recruitment activities, including serving on interview panels.
  • Support safer recruitment processes by verifying employment and character references, conducting risk assessments, and assisting with onboarding.
  • Assist with reviewing and updating company policies and procedures.
  • Perform general office administration duties such as scanning, filing, printing, and document management.
  • Audit supervision, probation, and appraisal records to ensure compliance with company policy.
  • Conduct six-monthly DVLA checks and monitor vehicle maintenance schedules.
  • Carry out six-monthly DBS checks in line with safeguarding requirements.
  • Maintain accurate data and records using SharePoint and ClearCare.
  • Assist with social media management, website updates, and monthly newsletter creation.
  • Support with travel arrangements, events, and meeting logistics.
  • Contribute to internal communication and staff engagement initiatives.

  • Strong administrative and organisational skills.

  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); confident using SharePoint and other digital systems.
  • Ability to work independently and as part of a team.
  • Proactive, flexible, and adaptable approach to changing priorities.
  • Experience with social media management or content creation (desirable).
  • Knowledge of HR or recruitment procedures (advantageous).

Qualifications & Experience

  • Previous experience in an administrative or PA role (essential).
  • Experience within operations, HR, or recruitment (desirable).
  • Understanding of compliance checks such as DBS and DVLA (preferred).
  • Familiarity with systems such as ClearCare and SharePoint (advantageous).
