We are currently looking for a highly organised Studio Coordinator to join our team.
Role Description
This is a
part time
position, working from our Studio near Shad Thames in London 3 days per week.
As Studio Coordinator, you will be instrumental in maintaining the smooth and efficient running of the studio. This multifaceted role combines studio administration, HR assistance, marketing coordination, and executive support.
The ideal candidate will bring excellent administrative skills, with the ability to juggle multiple tasks and ensure the seamless day-to-day operation of the studio. A keen eye for detail, strong communication abilities, and a talent for effective prioritisation are essential.
You'll also play a key role in fostering strong relationships across the team and contributing to a collaborative, positive studio environment.
Key Role Responsibilities:
Studio Coordination:
- Oversee the daily operations of the studio, ensuring a safe, clean, and efficient working environment, and conduct all studio administration and coordination tasks.
- Manage studio supplies, equipment, and maintenance; coordinating with service providers as needed.
- Coordinate with our outsourced IT support to upkeep the studio's technological needs.
- Actively contribute to the senior management team to ensure efficient studio operations.
- Serve as a primary contact for external stakeholders.
- Organise and manage studio events, such as showroom visits and Lunch & Learns.
HR Assistance:
- Assist Studio Director in managing HR software.
- Assist the Studio Director with recruitment activities, including scheduling interviews, coordinating candidate communications and maintaining recruitment records.
- Support the onboarding process by preparing necessary documentation to facilitate the orientation process for new employees.
- Assist Studio Director in coordinating staff reviews and maintaining a positive workplace environment.
Administrative Support:
- Provide administrative assistance to senior management as required.
- Manage the planning and execution of internal company events.
- Collaborate with senior leadership to support new business initiatives and marketing efforts.
- Ensuring new and existing Frameworks are kept up to date with Director of Studio assistance.
- Collaborating on new business opportunities, bids and RFP Responses.
- Attend networking events when required.
Marketing & Social Media:
- Managing company PR and social media presence, across Instagram and LinkedIn.
- Website management and upkeep.
- Liaising with PR consultants in relation to Forme UK PR, events and press release.
Qualifications:
years of experience in an administrative office-based position
- Capable of maintaining the utmost confidentiality and professionalism.
- Exceptional organisational skills with the ability to prioritise tasks effectively.
- Detail-oriented with a focus on accuracy.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite; knowledge of Adobe InDesign is a bonus.
- Familiarity with HR software is advantageous.
- Able to work independently as well as collaboratively within a team.
- Proactive and solution-focused with a strong problem-solving mindset.
- Experience in the design industry is a plus
