Position: Freelance Operations Assistant
Hours: Approx. 16 hours per week (flexible across all days, with occasional overtime)
Rate: £12.50 per hour (self-employed basis)
Location: Remote (UK-based), with occasional travel to Bath and occasional evening work
Equipment: Applicants must have their own laptop, reliable Wi-Fi access, and a suitable workspace
Overview
We're looking for a highly organised and proactive Freelance Operations Assistant to support the smooth running of our coaching business. This flexible, remote role (approx. 16 hours per week) is ideal for someone who enjoys independent work, clear communication, and varied administrative tasks. You'll be expected to work a few hours each day to ensure consistent support across our operations.
You'll play a key role in coordinating client communications, managing bookings, maintaining digital systems, and supporting event planning. An interest or background in the voice-over or the voice acting industry is a plus, helping you understand our creative community and clients.

Job Requirements
- Strong organisational and communication skills.
- Confident using Google Workspace, Zoom, Mailchimp, Eventbrite, and Xero (training provided).
- Excellent attention to detail and ability to multitask.
- Reliable, proactive, and comfortable working independently.
- Own laptop, reliable Wi-Fi, and suitable workspace required.
- Experience in admin or operations preferred; knowledge of the voice-over industry is an advantage.
- Occasional evening work required.
- Occasional travel to Bath required.
Job Responsibilities
- Manage the main inbox: respond to client enquiries, provide excellent customer care, and coordinate communication between students and teachers.
- Schedule lessons using Google Calendar and Zoom, ensuring accurate booking and follow-ups.
- Maintain and update company systems in Google Drive, keeping all documents organised and accessible.
- Support event planning and promotion via Eventbrite, Mailchimp, and WhatsApp Broadcasts.
- Prepare and send invoices through Xero, track payments, and forward financial information to bookkeepers.
- Keep detailed records of lessons, events, and student activity.
- Liaise with the internal team to ensure smooth coordination across marketing, social media, and scheduling.
- Assist during busy periods or events, including occasional evening work or travel to Bath (UK).
