Role Purpose

To manage operational activities across goods receipt, stores, kitting/production support, buying support, production planning, and despatch in a small manufacturing business with both in-house and subcontractor-based operations. The role ensures materials are accurately booked into the MRP system, production kits are issued as required, and finished goods are dispatched efficiently.

Key Responsibilities

  1. Goods Receipt & Stores Management

  2. Receive incoming deliveries, check items against purchase orders, and record receipts in the MRP system.

  3. Inspect in-house deliveries for damage or discrepancies, liaising with purchasing and/or suppliers where necessary.
  4. Maintain an organised and efficient stores area for in-house materials.
  5. Carry out regular stock counts and reconciliations.
  6. Monitor stock levels and flag shortages or reorder requirements.

  7. Kitting & Production Support

  8. Prepare and issue kits.

  9. Coordinate closely with production staff and subcontractors to ensure timely issue and return of materials.
  10. Maintain records of kit issue, returns, and component usage.

  11. Production Planning

  12. Preparation and updating of production schedules.

  13. Check materials availability against planned works orders and flag shortages or delays.
  14. Communicate with engineering, production, and subcontractors to maintain visibility of progress and priorities.

  15. Sales Order Despatch

  16. Prepare finished goods for despatch, ensuring correct packing, labelling, and documentation.

  17. Book couriers or coordinate collections.
  18. Maintain shipment logs.

  19. Buying & Supplier Coordination

  20. Raise purchase orders for materials, components, and consumables based on stock levels, production plans, or requests.

  21. Source alternative suppliers or components when required.
  22. Track open orders, follow up on overdue deliveries, and update expected dates in the MRP system.
  23. Assist with supplier communication regarding pricing, lead times, delivery issues, and general procurement queries.
  24. Maintain accurate purchasing records and ensure purchasing data is up to date in the MRP system.

  25. Subcontractor Component Administration

  26. Receive delivery notes from subcontractors for components shipped directly by suppliers.

  27. Book these components accurately into the MRP system.
  28. Liaise with subcontractors and purchasing regarding any discrepancies, shortages, or delivery issues.

  29. General Administration & Reporting

  30. Maintain ERP/MRP systems with accurate data for both in-house and subcontractor-supplied components.

  31. Generate reports on inventory, production status, and order fulfilment.
  32. Support management and colleagues with general operational administration as required.

Skills & Experience

Essential

  • Experience in manufacturing, logistics, or production support roles.
  • Strong organisational skills and attention to detail.
  • Competent in Microsoft Office (Excel, Outlook) and ideally MRP/ERP systems.
  • Ability to manage multiple tasks in a small business environment.

Desirable

  • Experience coordinating with subcontractors or external manufacturers.
  • Familiarity with electronic component handling and traceability.
  • Understanding of purchasing, inventory, and production workflows.
  • Experience with general purchasing and electronic components.
