Purpose of post
The Welsh Tribunals Unit (WTU) is seeking a dynamic, self-motivated and detail-driven Executive Support Manager to help shape the future of tribunal services in Wales.
About the Welsh Tribunals Unit: The WTU underpins the administration of several independent tribunals in Wales, ensuring they operate with fairness, transparency, and efficiency. Your Role: As Executive Support Manager, you'll play a vital role in ensuring the Welsh Tribunals Unit runs smoothly and effectively. You'll lead on financial processes, delivering robust reporting and supporting the processes around judicial pensions, judicial recruitment and general administration with accuracy and care. Your operational oversight will help maintain the day-to-day efficiency of the Unit, and crucially, you'll also help support over 200 judicial office holders, enabling them to deliver justice fairly and effectively in Wales.

Key tasks
Main Duties
- Monitor and report on Welsh Tribunals Unit budget, including preparing monthly reports for the Head of Unit and issuing/reconciling budget documents with tribunals.
- Run income and expenditure reports, process tribunal and operational payments, and reconcile Judicial Office Holder fees and salary data.
- Maintain and update key financial tracking tools (salary, spend comparison, pension data, forecasts, and tribunal finance documents).
- Prepare and submit corporate finance returns (monthly, quarterly, annually) to Welsh Government Finance.
- Certify e-payment requests, process purchase orders and invoices, and manage pension journals and year-end accruals.
- Check and process Judicial Office Holder fees, expenses, and judicial claims for payment via payroll provider.
- Respond to financial queries from Judicial Office Holders, payroll providers, and HMCTS.
- Ensure desk instructions for all financial processes are accurate and regularly updated.
Pensions
- Administer judicial pension processes for Judicial Office Holders
- Upload new Judicial Office Holder data to the pension provider gateway
Recruitment
- Manage joining and leaving processes for Judicial Office Holders, including collation of personal details, setting up payroll, and updating records as required.
- Administer death-in-service processes.
- Manage requests for creation and removal of e-judiciary accounts.
General Administration
- Monitor shared email accounts
- Maintain and update staff information, mailing lists, and Teams channels.
- Oversee the maintenance and accuracy of the members' data sheet.
Development opportunities
- Working with a diverse range of officials at a senior level and Judicial Office Holders across the six devolved Tribunals
- Working with external agencies, such as Judicial Appointments Commission, HMCTS, Ministry of Justice.
