1. Role Purpose
The Project Support Officer plays a key role in assisting the mobilisation team with the delivery of all tasks required to successfully launch a new cleaning contract. This role ensures the mobilisation plan is implemented effectively by supporting scheduling, documentation, data management, communication, resource coordination, and on-site mobilisation activities.
2. Key Responsibilities
Project Coordination
- Support the end-to-end delivery of the mobilisation project plan.
- Track deadlines, tasks, and milestones and escalate risks or delays to the Mobilisation Manager.
- Assist with agenda preparation, minute-taking, and follow-up actions for project meetings.
- Maintain and update mobilisation trackers, dashboards, and project documents.
Data & Documentation Management
- Assist in gathering and verifying Employee Liability Information (ELI), asset lists, equipment inventories, training records, and operational data from outgoing contractor.
- Organise and maintain filing structures for project documentation.
- Prepare mobilisation packs, SOP documents, staff onboarding packs, and site files.
- Support the creation of reports and presentations for internal and client stakeholders.
Onboarding & Workforce Support
- Assist with scheduling training, inductions, and onboarding sessions.
- Help ensure all incoming staff receive correct documentation, ID badges, uniforms, and equipment.
- Support TUPE teams with issuing letters and managing employee queries (as directed).
- Track staff onboarding progress and escalate any gaps.
Operational & Site Support
- Attend site meetings, surveys, and tours as required.
- Support equipment delivery, stock checks, and mobilisation logistics.
- Coordinate with suppliers to ensure timely delivery of materials and equipment.
- Monitor and record mobilisation readiness activities across all sites.
Communication & Stakeholder Support
- Assist with drafting updates, notices, and communication materials.
- Support communication between HR, Operations, QHSE, and Training teams.
- Maintain positive relationships with outgoing contractor staff, client representatives, and internal stakeholders.
3. Key Skills & Experience Required
Essential
- Experience in administrative, project support, or coordination roles.
- Strong organisational skills with an ability to manage multiple tasks.
- Excellent communication and stakeholder engagement skills.
- Good working knowledge of Microsoft Office (Excel, Word, PowerPoint).
- Attention to detail and strong record-keeping skills.
- Ability to work flexibly and adapt to changing mobilisation priorities.
Desirable
- Experience supporting contract mobilisations in FM/cleaning/services.
- Experience working on-site or in operational environments.
5. Working Requirements
- Temporary contract aligned to mobilisation timeline (6 months).
- Flexibility to support early morning or evening activities depending on site shift patterns.
- Willingness to travel to various contract sites as required.
Location: London and South West
Salary: £45,000
Please note, This is a Fixed Term position for a 6 month role, this is the annual salary and all roles are interim only.
