About The Role
We are currently recruiting for a Facilities Coordinator to support the effective delivery of Facilities Management Services to one of our key strategic clients, based at a static site located in Cheadle, UK.
Main Responsibilities Will Include
- Deliver highly professional, customer-focused service.
- Provide support and guidance to ensure efficient and safe work processes.
- Build a trusted relationship with the client and contribute to Macro's growth by supporting the management team in operational activities and opportunity development.
- Manage building operations and maintenance requirements at the client site.
- Liaise with clients, suppliers, and internal staff.
- Ensure service level agreements are met through daily communication with stakeholders and the client.
Key Responsibilities
Safety and Compliance
- Promote a safety-first culture, prioritising health, safety and wellbeing.
- Manage all logged and requested tasks via the Macro FM24 Helpdesk.
- Address and communicate client/customer requests, concerns or complaints.
- Conduct scheduled preventive maintenance through designated suppliers.
- Oversee daily maintenance and compliance tasks.
- Deliver reports, audits and compliance documentation.
- Support office moves, minor projects and ad hoc tasks.
Supply Chain Management
- Select and manage vendors in collaboration with the procurement team.
- Oversee the full P2P process.
- Manage supplier commissioning and permitting.
- Conduct contractual, compliance, and technical audits of supplier services.
- Negotiate pricing and terms, ensuring alignment with service level agreements.
- Contribute to contractual savings targets.
- Organise regular supplier meetings and share minutes.
- Monitor and ensure supplier performance.
Facility Function
- Ensure full operational readiness of the facility through maintenance and repairs.
- Collaborate closely with the client.
- Support business continuity plans and disaster recovery plans.
- Promote sustainable practices and products.
- Manage the asset register and life cycle.
- Assist with Capex planning for FM related assets.
Health, Safety & Environmental (HSE) Activities
- Support investigations into near misses, accidents, and incidents.
- Organise and monitor revision exams and dates.
- Implement health and safety standards through site inspections and suppliers risk assessments.
- Record actions, observations, and risks.
- Conduct internal QHSEW inspections.
- Supervise permits to work and risk assessments.
- Ensure compliance with Maco / client requirements and local legislation.
Security
- Manage access control systems.
- Coordinate with security vendors.
Client Management
- Record and address improvement suggestions and requirements.
- Maintain high levels of customer satisfaction through proactive service.
- Brief and meet with stakeholders as needed.
People Management
- Lead the Macro team on site.
- Conduct meetings, set objectives, and perform performance reviews.
- Support trainings needs and execution.
- Lead by example and promote team wellbeing.
Facility Coordination and Service Excellence
- Coordinate internal and external client events.
- Represent Macro professionally on-site and build strong client relationships.
- Ensure compliance with PPM, RA, and legislative requirements.
- Manage services in line with Macro's quality standards.
- Identify opportunities to improve processes, service levels, and standards.
- Maintain minimum Quality League Table standards.
- Complete monthly KPI reporting.
- Share compliments and complaints with the account manager and manage follow-up actions.
- Identify and mitigate business risks.
- Ensure all operational procedures are in place.
Communication
- Draft and manage internal communications related to facility coordination and revisions.
- Report effectively on services and tasks to the client.
- Adhere to and promote Macro core values and behaviors.
- Share ideas for process improvement constructively.
- Document and share lessons learned.
- Prepare and lead internal and external meetings, ensuring minutes are distributed.
Projects / Innovation
- Support minor project implementation, including relocations.
- Ensure timely completion of FM-related projects.
- Encourage innovation and continuous improvement.
- Assist with CAPEX project planning and execution.
Finance
- Understand contract and financial mechanisms.
- Support savings strategies.
- Achieve budget and forecast targets.
- Track cost savings and avoidance initiatives.
- Assist with project invoicing and aged debt payments.
- Document scope changes via CCR.
- Monitor budget and actual spend, explaining variances.
- Support finance team and AOP processes.
- Participate in quarterly finance meetings.

Preferred Qualifications:
- Previous experience as a member of the Facilities team in a corporate environment.
- Basic Health and Safety qualifications, including knowledge of RAMS, Permit to Work, and compliance paperwork.
Additional Advantages:
