Job Summary
We are seeking a highly organised and detail-oriented Export Sales Coordinator to join our Sales team.
The successful candidate will be responsible for the administration and processing of sales enquiries, quotations, sample requests, orders, invoices, and export documentation; coordinating shipments and ensuring compliance with international trade regulations.
The job holder will play a pivotal role in maintaining efficient export operations, through strong coordination and communication with our customers, transport companies and co-workers.
Main Duties include, but are not limited to:
- Develop and maintain knowledge of export requirements and complete all documentation accurately.
- Administer and effectively deal with sales enquiries, ensuring strong co-ordination and communication to meet our customers' needs, expectations, and requirements via telephone/email/website.
- Issue quotations and send out samples, proactively follow up and progress as appropriate, and ensure feedback is given to Sales Manager.
- Process customer orders ensuring all pricing, delivery details and product selection are entered correctly and accurately.
- Liaise with transport companies to ensure goods are collected and delivered on time.
- Generate invoicing and associated paperwork.
- Ensure any complaints are fully investigated and documented following the company reporting procedures.
- Maintain, develop and build long-term customer relationships and maintain records in our IT system.
- Assist with sales related initiatives and marketing promotions.
- Provide cover for co-workers as and when required.
- Complete other various administrative tasks within the Sales Department as required.
- Assist with the training of other sales staff.
Experience
- Previous experience of working in an export sales department would be an advantage and preferred, however, full training will be given.
- Excellent organisational skills with the ability to manage multiple tasks accurately and simultaneously under tight deadlines.
- Good communication skills, both written and verbal, with the ability to liaise effectively with internal teams and external partners.
- Excellent customer service skills with a genuine commitment and passion.
- Proficiency in IT and numeracy.
- Attention to detail and problem-solving abilities are essential for success in this role.
- Precision, accuracy and professionalism, with the ability to proactively follow up on all actions.
- An understanding of customs procedures, international trade regulations, and shipping documentation requirements would be an advantage.
Job Type: Full-time
