Volunteer role: Volunteer Receptionist

Reports to: Volunteer Services Manager

Commitment level: Currently there is a requirement for a volunteer receptionist on Thursday morning 9:00am - 12:30pm. Or alternatively "ad hoc" flexible cover for when existing volunteers or staff are on holiday or unavailable.

Purpose of the Voluntary role:

As the first point of contact for all clients, this is a key volunteering role which makes a huge contribution to the work of Evergreen. You will help us to provide a welcoming face to all visitors at our offices and help us to manage telephone and email enquiries.

This position could suit someone who has done a similar role in their career and would now like to use that experience to give something back to the community.

Key Responsibilities:

Welcome visitors with appointments, ensuring that they sign in and, where appropriate, offer some form of refreshment

Where required take detailed information and attempt to answer the visitor's enquiries

Contact the appropriate member of staff / service or takes information which will be passed on by email to relevant member of staff / service

Informs the appropriate staff when a customer has arrived for their appointment and keep the customer informed if they experience a delay

Directs customers to all available literature, leaflets, and current campaigns

To have a good understanding of and up to date knowledge of Evergreen's services

Key relationships:

Working with other Evergreen volunteers

Engaging effectively and professionally with the general public

Working with Members of Evergreen Staff

Skills, Qualifications and experience required:

Essential: Basic computer skills and at ease using the internet. Excellent telephone manner

Desirable qualities:

Customer service experience

Personal qualities most suited to this role:

Good interpersonal skills, particularly listening

Good communication skills, able to take clear notes to pass onto the advisors

Able to work confidentially and be patient, tactful, discreet, and sensitive

Able to work reliably in a busy, sometimes hectic environment

Able to respond appropriately to different and sometimes challenging situations

Training and support required:

Full training and support will be provided to all volunteers including:

Online Safeguarding training.

Introduction session to the role of a receptionist - shadow a current receptionist

Ongoing Support from the Volunteer Services Manager

Availability of parking at work location:

There is parking at SHYP House and street parking on Barnack Rd.

Any required equipment for the role will be supplied.
