Overview
The Reception Administrator plays a vital role within the organisation, acting as the first point of contact for visitors, callers, and staff. This position requires excellent communication skills, a professional demeanour, and the ability to manage a variety of administrative tasks efficiently. The ideal candidate will be organised, personable, and capable of working independently or as part of a team.
Main Responsibilities
- Greet visitors and clients in a courteous and professional manner, ensuring they feel welcome and are directed appropriately.
- Answer incoming telephone calls, respond to enquiries, and route calls to the relevant departments.
- Manage the reception area and meeting rooms maintaining a tidy and organised workspace.
- Handle incoming and outgoing post and deliveries, including signing for packages and notifying recipients.
- Schedule appointments, meetings, and room bookings as required.
- Assist with general administrative tasks
- Maintain and update contact lists, visitor logs, and other records.
- Monitor and order office supplies for the reception area.
- Support other departments with administrative projects as needed.
- Ensure compliance with company policies, procedures, and health and safety requirements.
- Meeting room set-up: including ordering lunches, booking in guests, and keep refreshments topped up
Required Skills & Qualifications
- Proven experience in a reception, administrative role preferred.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Strong organisational skills and attention to detail.
- Ability to multitask and prioritise workload in a busy environment.
- Professional appearance and approach.
- Friendly, approachable, and able to build rapport with a wide range of people.
- Discretion and respect for confidentiality.
Working Conditions
This is an office-based role, requiring regular working hours with occasional flexibility as needed. The Reception Administrator is expected to maintain a positive and welcoming environment and uphold the values of the organisation.
