Job Overview: 

We're looking for a SharePoint Online–focused Modern Workplace Specialist to own, administer, and continuously improve our SharePoint and connected Microsoft 365 collaboration ecosystem. You will lead on tenant-level SharePoint administration, information architecture, site provisioning, governance, security & compliance, and user adoption—ensuring SharePoint, Teams, and OneDrive work together seamlessly to meet business needs.

You'll partner closely with business stakeholders to understand requirements, translate them into scalable SharePoint solutions, and collaborate with IT operations, security, and product teams to
deliver secure, performant, and well-governed platforms. You'll also monitor service health, drive usage, and optimise licensing and configuration to meet SLA/KPI targets. (Evolved from the original

Key Responsibilities:

SharePoint Online Administration & Governance
Own day-to-day administration via the SharePoint Admin Centre, including site collection management, hub site design, storage quotas, sharing controls, and service settings.
Define and enforce governance for site provisioning, lifecycle, archival/retirement, naming conventions, and ownership models.
Manage permissions at scale (role-based access, groups, Azure AD groups, and Microsoft 365 groups) and oversee external/guest access and B2B collaboration.
Information Architecture & Content Services
Design IA (hub/spoke model, site templates), metadata, content types, Term Store, and search configuration to improve findability and compliance.
Implement and maintain retention and sensitivity labels, records management policies, and DLP for SharePoint, OneDrive, and Teams.
Provisioning, Automation & Tools
Build and maintain automated site provisioning using PnP PowerShell, site scripts/site designs, and Power Automate.
Administer and tune OneDrive and Teams SharePoint underpinnings; ensure coherent experiences across modern pages, lists/libraries, and Teams channels.
Migrations & Upgrades
Plan and execute migrations (on-prem SharePoint to SPO and tenant-to-tenant where required) using tools such as Sharegate and Quest. validate content, permissions, and post-cutover integrity.
Stakeholder Management, Training & Adoption
Engage with business stakeholders to capture requirements and translate them into SharePoint solutions
Create user guides, run training and champion networks, and drive feature adoption (Viva Connections, Lists, and new SharePoint experiences).
Documentation, Reporting & Cost Optimisation
Maintain run books, architecture diagrams, standards, and governance documentation.
Track license and storage usage; recommend cost optimisations and configuration changes to improve ROI.

Required Skills & Experience:

3+ years hands-on SharePoint Online administration at tenant and site-collection levels, including governance, provisioning, permissions, external sharing, and lifecycle management.
Strong understanding of information architecture, Term Store, content types, search schema, and modern sites/pages.
Proficiency with PowerShell (especially PnP.PowerShell) for administration and automation; comfort with Power Automate for operational workflows.
Practical experience integrating SharePoint with Teams and OneDrive, and managing the SharePoint foundations of Teams (files, permissions, lifecycle).
Solid grasp of M365 Security & Compliance concepts: retention/sensitivity labels, records management, DLP, eDiscovery, and audit.
Proven ability to troubleshoot, analyse service health, and resolve complex SharePoint issues, clear written and verbal communication skills and stakeholder engagement.

Preferred Qualifications:
 
Experience with SharePoint migrations (SharePoint Server to SPO, or tenant-to-tenant) using tools such as Sharegate and Quest
Exposure to Viva Connections/Viva Topics, Syntex (content processing).
Familiarity with Azure AD (Entra ID) fundamentals, Conditional Access, and collaboration with identity/security teams.

Success Measures / KPIs:
 
Reduction in incidents and mean time to restore for SharePoint/OneDrive/Teams file issues.
Increased adoption of SharePoint capabilities (usage of modern sites, metadata, retention labels, and governed external sharing).
Demonstrable cost optimisation (storage, licensing alignment) and improved compliance posture.

Tooling & Ways of Working:
 
SharePoint Admin Centre, Microsoft 365 Admin Centre, Compliance portal, PnP.PowerShell, Power Automate, Sharegate/SPMT, usage analytics (Admin & Graph-based), and Azure AD.
Work in a pragmatic Agile way with clear documentation, change control, and stakeholder communication.
