You'll join our Commercial Operations team in the Fitness & Wellbeing vertical where we've recently brought together our Boutique Wellness and Health & Fitness business to form a single, global vertical that serves clients around the globe in key markets like the US, Canada, UK, Europe, Japan, Australia and New Zealand. We have market-leading software products like Xplor Gym (Membr), Mariana Tek, TrueCoach, Clubware, Resamania and Xplor Recreation designed to help our clients manage and grow their business.
You will play a pivotal role in managing the end-to-end bid process, including coordination of RFP responses, oversight of contract negotiations and producing professionally written proposal content that clearly articulates Xplor's value proposition. As such, you must demonstrate strong commercial acumen and a strategic mindset, working closely with internal stakeholders to ensure proposals and contractual terms reflect Xplor's commercial objectives and compliance standards.
Reporting into the Commercial Operations Director you'll manage cross-functional projects that drive process improvements, assisting in the implementation of new commercial initiatives, and facilitating effective communication between teams to ensure alignment with broader business objectives.This includes contributing to the development of training materials, supporting compliance with internal governance frameworks, and proactively identifying opportunities to streamline workflows and enhance the efficiency of the Commercial Operations function.
Some of the other responsibilities you'll have:
- Bid management and RFP response process, including ensuring that timelines are met and that proposals submitted conform to Xplor pricing and profitability guidelines.
- Creation of high quality bid documents, including writing and editing content (text and graphics) and document production.
- Maintain a centralised content library of proposal boilerplate, case studies and responses.
- Support the provision of business and industry insights and analytics to drive performance and identify areas of opportunity / underperformance.
- Support the standardised adoption of sales technology to optimise performance management (e.g. , HubSpot, Responsive).
- Provide governance support around contract management and commercial pricing for both new business and existing customers.
- Communicate effectively with prospects, customers, stakeholders and senior management, including escalation of risks / issues.
- Other duties that from time to time may be required to support the R&L business objectives.
We offer a flexible hybrid working model for this position. You'll have the option to work from home, with occasional travel to our
Newcastle
office when required.
For this role, you'll need to be available to work from
2:00 pm to 10:00 pm UK time
to support the North America region for Xplor.

Required qualifications for this role:
- Extensive experience in the software sales industry.
- 3 plus years experience in bid writing/management.
- Proven track record of working across multiple commercial functions, you will be a highly collaborative individual who values the input of colleagues and peers, and seeks input from others e.g - Product, Marketing, Commercial, Governance and Engineering.
- Exceptional written English, verbal communication and listening skills.
- You are highly organised, process and detail-oriented, result-focused and able to work autonomously.
- You are positive, confident and a good-rapport builder, with a professional and courteous attitude.
- You have strong numerical understanding and analytical ability; and, ability to work with and influence a broad range of stakeholders to complete agreed tasks.
