We're on the hunt for an organised, proactive, and detail-driven Design Operations Assistant to support our creative team and help keep our design projects running smoothly. From coordinating workflows to maintaining asset libraries and ensuring impeccable organisation across all design processes, you'll play a key role in helping our brand deliver beautiful, consistent work.

About the Role:

As a PA, you'll work alongside and provide direct support to the Senior Designer in overseeing daily design activities. You'll coordinate workflows, maintain the team calendar, and ensure tasks and deadlines stay on track. By monitoring workloads and flagging when team members are stretched, you'll help the Senior Designer balance priorities effectively. You'll also handle documentation, review and redact files, cross-check quality reports, and maintain organised records — ensuring accuracy, efficiency, and seamless collaboration across departments.

What Be Doing:

  • Manage and maintain the team calendar.
  • Distribute incoming work tasks and allocate them appropriately across the team.
  • Maintain and update shared team to-do lists.

  • Lead daily and weekly team meetings to support planning and workflow coordination

  • Review and approve QC (Quality Control) reports

  • Manage document redaction and other general administrative documentation

  • Order product samples for photography or internal review and keep track of them

  • Create briefs for external partners and suppliers

  • Request, collect, and organize assets from suppliers and/or buyers

  • Generate and maintain barcodes and GTIN-14 codes

  • Monitor task progress across the design team

  • Track project timelines and proactively notify the

senior designer when tasks shift in priority or become overdue

  • Reorganize and maintain digital folders to ensure all main files are properly labelled and up to date

What Looking For:

  • Bachelor's degree in Business Administration, or Design Management (or equivalent experience)
  • At least minimum 2 years of administrative or operations experience
  • Excellent organizational and multitasking skills
  • High attention to detail and accuracy
  • Strong communication and collaboration abilities
  • Proficient in Microsoft Office and/or project management tools (e.g. Asana, Trello, Adobe Workfront)
