Working hours - 8am - 5pm.
Compliance Administrator Job Description:
Check and Manage Updates in the inbox
Check and Manage Purchase Ledger Inbox folder
Receipt Purchase Ledger Invoices on Simpro
Reconcile monthly Supplier Statements
Prepare supplier run for payment
Prepare and send monthly PPM jobs to Subcontractors
Update Simpro jobs when paperwork/update received
Check job sheets / certs in updates and upload to Share point as required
Raising jobs for extra items on PPM's
Raise Client quotes as required
Weekly / fortnightly WIP Report (sent to GS on Thursdays, rerun report on Mondays)
Check daily on Simpro for PPM jobs not updated
Liaising and following up with subcontractors where required
Obtain and process any required permits.
Update PPM Client Trackers and inform HD of overdue PPM's
Answer Telephone as required and assist as needed.
As and when required tasks but not limited to
Fire Damper Reports
Thermal Imaging Reports
EICR Spreadsheets and remedial certificates
Asset register updates for Clients
Log and assign new jobs as required.
Any other works as outlines by Helpdesk Supervisor/Operations Manager
Person Specification:
- Proven experience in an administration support role.
- Excellent communication skills
- Strong organisational and time-management skills
- Good attention to detail
- Professional and positive attitude
