We are looking for a Senior Administrator to join our Passive Fire Protection department. In this role, you will be a key part of the team, ensuring the efficient coordination of projects and the smooth delivery of services to our clients. You'll take ownership of logistics, scheduling, and communication across multiple stakeholders to keep projects running on time, within scope, and to the highest quality standards.
What You'll Be Doing
- Project Coordination: Oversee and coordinate daily logistics, including engineer schedules, appointments, parking, materials, and site supplies to ensure efficient project delivery.
- Scheduling & Access Management: Proactively handle no-access situations by rescheduling, resolving conflicts, and liaising with clients to maintain progress and client satisfaction.
- Stakeholder Communication: Serve as the primary point of contact for residents, engineers, and clients—handling queries, follow-ups, and escalations in a professional and timely manner.
- Meeting Preparation & Attendance: Prepare for and attend client meetings, providing accurate project updates and supporting documentation as required.
- Administrative Support: Provide comprehensive administrative support to engineers and colleagues, including escalation handling, supply coordination, and workflow improvements.
- Record Keeping & Reporting: Maintain detailed and accurate project documentation, including progress tracking, compliance reports (FRA, Passive Fire), and internal progress summaries.
- Quality Assurance: Review work (both personal and team outputs) for accuracy and consistency, ensuring all records meet agreed quality standards.
- Project Support: Collaborate with Project Leads and Managers to coordinate project phases, monitor milestones, and support on-time delivery.
- Team Collaboration: Actively participate in regular progress meetings with Project Managers and Coordinators, contributing updates and identifying potential improvements.
- Continuous Improvement: Take ownership of ad hoc tasks and promote a culture of continuous improvement, accountability, and professional growth.
- Mentorship: Support and guide junior team members, fostering a collaborative and supportive team environment.

What You'll Bring
- Previous experience in an administrative or customer service role.
- Full proficiency in Office 365 and Microsoft Office packages, particularly Excel
- Strong administrative, organisational, and documentation skills.
- 5+ years of overall office and administrative experience.
