Job Overview
Berkshire and Surrey Pathology Services (BSPS) is a collaborative venture between Ashford and St. Peter's Hospitals NHS Foundation Trust, Frimley Health NHS Foundation Trust, Royal Surrey County Hospital NHS Foundation Trust, Royal Berkshire NHS Foundation Trust, and Surrey and Sussex Healthcare NHS Trust.

The service provides a comprehensive range of pathology services to acute and primary care patients across the network.

The Data Quality Coordinator plays a crucial role in ensuring that administrative tasks associated with data quality, validation, and day-to-day management of pathology applications are carried out accurately and efficiently.

The post holder will be responsible for supporting key operational functions, maintaining clean and accurate data, and helping ensure systems operate smoothly.

An essential aspect of the role is responding to queries from GPs and trust staff, maintaining professional relationships, and supporting service users in the effective use of pathology systems.

Their work directly contributes to maintaining high standards of service quality and reliable diagnostic information across the BSPS network.

Main duties of the job

  • This is a hands-on support role responsible for managing and responding to queries via email, self-service requests, and telephone in a timely and professional manner.
  • All issues and requests must be accurately logged and processed in line with current procedures.
  • A key duty is ensuring that minimum data standards for patient demographics are consistently applied within LIMS and ICE systems, using a strong attention to detail to support accurate data entry and ensure that resolution at first contact is achieved wherever possible.
  • The post holder will liaise with third-party suppliers and contractors, ensuring that incidents and technical issues are progressed and resolved within agreed service level targets.
  • The role also involves working closely with clinical and administrative users, providing guidance, problem resolution, and high levels of customer service.
  • Excellent communication and organisational skills are essential, as the position requires continual use of telephones and VDU systems, strong concentration on complex tasks, and a supportive approach when dealing with a wide range of user needs.

Detailed Job Description And Main Responsibilities

  • The post holder will provide administrative support and day-to-day assistance in the use of Pathology IT applications across the service, including participation in out-of-hours cover and travel to other BSPS hospital sites as required.
  • They will work collaboratively with colleagues to achieve team objectives, maintaining effective and professional working relationships at all times.
  • The role includes attending mandatory training and contributing to the training of pathology system users.
  • The post holder is expected to pursue ongoing learning and development to maintain a high level of technical and professional competence.
  • A key responsibility is the consistent application of patient confidentiality and adherence to all relevant legal and organisational requirements, including the Data Protection Act, Health and Safety regulations, COSHH, and departmental policies.
  • The post holder may also be required to undertake additional duties consistent with the role as directed by the Operational Manager for Pathology Support Services.

Qualifications
Essential criteria

  • A Level (or equivalent)
  • IT literate – Word, Excel, PowerPoint, and Outlook

Desirable criteria

  • ECDL or equivalent IT qualification
  • Trained in the use of Service Desk Solutions

Experience
Essential criteria

  • Sound experience of working in a busy office environment.
  • Working under pressure and with time constraints.
  • Experienced in translating data into simple reports or information to present to nontechnical staff in a clear and understandable manner.
  • Working unsupervised and using own initiative.

Desirable criteria

  • Experience of NHS or public sector environment
  • NHS processes, policies, and protocols
  • Experience of working in a user support environment

Skills & Knowledge

Essential criteria

  • Excellent telephony, verbal and written communication and interpersonal skills.
  • Able to work effectively with a wide range of specialists, at all levels, across internal and external organisational barriers.
  • Ability to analyse and record accurate information and prioritise work under pressure.
  • To provide training in a clear and relatable manner.
  • High attention to detail.

Desirable criteria

  • Knowledge of use of support pathology systems - WinPath and ICE
  • Knowledge of EPR systems
  • Experience of conducting audits.

Special Requirements

Essential criteria

  • Current driving licence or otherwise independently mobile.
  • Able to work across all BSPS sites.
  • Able to cover out of hours as required.
