This full-time position (Monday to Thursday), supports digiLab's recruitment, HR, and office operations, helping to create a smooth, welcoming, and people-focused environment. Working closely with the Talent Acquisition Specialist and HR Manager, you'll coordinate hiring processes, support onboarding and people operations, manage office logistics, assist with executive scheduling and travel, and contribute to culture and engagement initiatives. As a key representative of digiLab, you'll ensure efficient operations, an excellent candidate experience, and a positive workplace that reflects our innovative, collaborative values.

The role:

As a TA & HR Assistant at digiLab, you will be responsible for:

Recruitment & Talent Acquisition Support :
  • Assisting the Talent Acquisition Specialist in all stages of the hiring process - coordinating internal teams and requirements, to ensure the candidate is the correct fit for the business overall (including aligning to digiLab culture and values)
  • Reviewing CVs and applications, and supporting candidate screening.
  • Conducting initial HR/screening interviews and maintaining detailed interview notes.
  • Scheduling interviews and meetings across teams.
  • Helping to create and post job adverts, updating existing listings and LinkedIn posts.
  • Ensuring compliance with the recruitment process, including timely collection of interview notes and scoring from interviewers.
  • Conducting direct searches for candidates via LinkedIn and other channels.
  • Coordinating interview logistics and communications to ensure a smooth candidate experience.
  • Acting as a professional and friendly representative of digiLab to all applicants.
HR & People Operations Support
  • Assisting the HR Manager with onboarding new starters, including, setting up workspaces,, slack, clockify and coordinating induction assignments.
  • Handling all sensitive information with the highest level of discretion and confidentiality
  • Manage staff benefits providers.
  • Maintaining and updating asset inventories for office tech.
  • Ordering supplies and equipment as needed (e.g. Amazon, IT hardware, office furniture).
  • Monitoring the main digiLab inbox, redirecting or responding to messages as appropriate.
  • Supporting HR administrative tasks, including record-keeping and compliance.
  • Assisting with maintaining fire safety and first aid records, including fire risk assessments, fire registers, and PAT testing schedules.
  • Helping to keep the office organised, clean, and well-stocked.
  • Assisting other teams with administrative tasks as required, providing flexible support across the organisation.
  • Assisting the Leadership and wider team with event planning and travel logistics.
  • Coordinating internal and external meetings, including agendas, logistics, and follow-ups.
  • Maintaining confidentiality when handling sensitive company or personal information.
Culture & Representation
  • Acting as a friendly and professional representative of digiLab in all interactions — with candidates, partners, and visitors.
  • Supporting internal engagement and culture initiatives.
  • Contributing to a positive, inclusive, and well-functioning workplace environment.
  • Assisting in general HR or recruitment projects as required by the Talent Acquisition Specialist or HR Manager

Duties may evolve, and you may be asked to take on other reasonable responsibilities within your competence to support our growth.

Required Skills & Experience:

  • Strong organisational and administrative skills, with excellent attention to detail.
  • Degree-level education
  • Excellent written and verbal communication skills.
  • Friendly, professional, and approachable manner.
  • Ability to multitask and manage competing priorities efficiently.
  • Proficiency with Microsoft Office or Google Workspace tools.
  • Experience with ATS systems or HR software (advantageous but not essential).
  • Confidence in speaking with candidates and conducting initial HR interviews.
  • Enthusiasm for recruitment, HR, and people-focused work.
  • A proactive, can-do attitude and willingness to take ownership of tasks.
  • Discretion and professionalism when handling confidential information.

In addition, some 'nice to haves' are:

  • Previous experience in HR, recruitment, or office coordination.
  • Understanding of basic HR processes (onboarding, benefits, compliance).
  • Experience supporting hiring or people teams in a growing organisation.

Location:

This role is based on-site at digiLab's offices on the Quay, Exeter.
