The Role

Todds Nursery Ltd, now part of the Urban&Civic Group, is a modern, forward-thinking tree, hedge, and large shrub nursery set in the beautiful countryside of Southill. We're looking for an organised and dependable Administrative Assistant to keep things running smoothly behind the scenes and support our Senior Management team.

This role is the backbone of our day-to-day operations – helping to coordinate admin, compliance, finance, and procurement processes so the team can focus on growing the business (literally and figuratively). You'll manage everything from invoices and schedules to supplier communication and compliance logs, making sure details are accurate and deadlines are met.

What You'll Be Doing

  • Acting as the first point of contact for customers, suppliers, and visitors – handling calls, emails, and in-person enquiries.
  • Managing diaries, booking meetings, travel, and accommodation, and helping to coordinate trade show logistics.
  • Keeping digital and physical filing systems in order, maintaining records for HR, compliance, and health and safety.
  • Processing invoices, expenses, and purchase orders, tracking costs against budgets and cost centres.
  • Supporting the management team with quotes, procurement summaries, and finance admin.
  • Helping with compliance documentation, including DEFRA, APHA, and plant health records.
  • Logging training records, incident reports, and PPE tracking.
  • Supporting nursery operations by tracking deliveries, stock tagging, and availability lists.
  • Assisting with social media scheduling, website updates, and image library management.
  • Taking notes during meetings, tracking actions, and helping prepare management reports.

What We're Looking For

  • Strong organisational skills and attention to detail.
  • Confident communicator – written, verbal, and in person.
  • Comfortable using Microsoft 365 or Google Workspace.
  • Experience processing invoices or handling basic finance admin.
  • Able to manage confidential information with discretion.
  • Comfortable working both in the office and occasionally outdoors on the nursery site.
  • GCSEs (or equivalent) in English and Maths.
  • Full UK driving licence.
  • Reliable, proactive, and able to spot issues before they become problems.

It'd Be Great If You Also Have:

  • Experience with accounting software (Xero, QuickBooks, Kashflow).
  • Familiarity with workflow tools (Connecteam, Monday, Trello).
  • Knowledge of horticultural or nursery operations.
  • Experience with HR admin or onboarding.
  • Confidence managing business social media and basic website updates.
  • Event or trade show coordination experience.
