Job Summary:
Renovo Solutions - Life Sciences is partnered with Vertex.
A Center of Excellence Specialist is assigned full-time to provide account assistance. This is a full-time onsite role (M-F). The COE Specialist responsible for remote Life Science contract and asset management and must maintain an exceptional relationship with the account sponsors, facility staff, equipment end users, vendors, and service personnel. The COE Specialist required to demonstrate excellent customer service, time prioritization, communication, administrative, and organizational skills. This role will also assist as needed in support of the negotiation of lab equipment purchases in addition to the focus on service contracts. This role supports on-site repair technicians and operational support specialists in the execution of administrative responsibilities.
Equipment Sourcing Responsibilities (Surge support to assist as needed):
- Negotiation of equipment quotes with Vertex suppliers within defined SLAs, liaise with suppliers and equipment requestors. Upload revised quotes into ticketing workflow
- Track savings achieved, likely in a Vertex tool or spreadsheet
- Communicate delivery logistics with on-site personnel for Renovo pass through purchases.
Lab Equipment Repair & Maintenance Sourcing Responsibilities:
- Assist in the review of annual OEM/ISO service contract and T&M spend, negotiation plans and scaling as needed the negotiation with OEM/ISOs to establish high level SLAs, pricing discount rates for service contracts, repairs and parts
- Collect data and making inputs on supplier service performance score cards for equipment service only.
- Assist as needed to provide data for supporting the execution of Renovo QBRs and helps organize supplier QBRs
Service Contract Management:
- Review POs and maintain accuracy in Renovo Live (Equipment Database)
- Review POs and confirm actions with Site (Site Sponsor Engagement)
- Reach out to vendors for quotes
- Support engagement plan with scientists/site sponsor for informing budget proposals with level of service (FSWP, PM only, Standard contracts, Premium, etc.) required for equipment and costs of each option
- Confirming service level requirements with site sponsors
- Understanding applicable discounts, consolidating, and negotiating with contract vendors
- Purchase service contracts, track, and maintain service contract data
- Approve POs/Invoices
- Trend contract data and provide insights to site sponsors
Asset Management Administration:
- Support Site Sponsor/Renovo Site Manager Rolling Action Items List (RAIL) meetings
- Provide back up to the on-site support team when needed
- Issue POs
- Open/track work orders
- Receive/process Field Service Reports (FSRs)
- Schedule on site vendors
- Close POs
- Track invoices in RL and update status and line items as needed
- Vendor follow-up open POs requiring invoices
- Triage work orders to technicians
- Repair requests to OEMs
- End user engagement for repairs
- Manage T&M billing and tracker along with sponsor updates

Safety Requirements:
- Maintain a safe working environment for self and others if they come in contact within the biomed area in accordance with the facility's policies
- Must follow OSHA guidelines in regard to blood borne pathogens, airborne pathogens, radiation, sharp instruments and/or tools, hazardous liquids, and operating devices
- On-time completion of safety training assignment
- Must have sensory ability to distinguish hot & cold ranges of temperature, surfaces, fine motor skills, manual dexterity, and detect/distinguish colors
- Must be able be able to carry or lift up to 50 pounds routinely
