Salary: £30,000 – £40,000 + performance bonus
Contract: Full-time, Permanent
Department: Cleaning & Soft FM Operations
ROLE PURPOSE
To lead, manage, and deliver high-quality commercial cleaning operations, including contract management, project delivery, staff training, site surveys, and operational excellence across Proactive Cleaners & Proactive Facilities Management.
The role combines contract management, cleaning project management, client relationship management, operational leadership, quality control, and training & development of cleaning teams.
You will ensure all contracts and cleaning projects are delivered on time, to scope, to budget, and to the highest standards.
KEY RESPONSIBILITIES1. Contract Management & Operational Delivery
- Oversee daily operations across multiple commercial cleaning and soft FM contracts.
- Manage SLA delivery, quality scores, KPIs, site audits, and client expectations.
- Ensure labour hours, staffing schedules, and budgeted costings are adhered to.
- Deliver consistent service improvement plans across all sites.
- Maintain compliance with ISO 9001/14001/45001 and CHAS Elite standards.
2. Cleaning Project Management
(For deep cleans, sparkle cleans, end-of-tenancy, industrial, builders cleans, periodic cleaning, etc.)
- Plan and deliver cleaning projects from start to finish.
- Carry out site surveys, assess requirements, calculate labour, materials, and equipment needs.
- Create and deliver project method statements, cleaning schedules, and scope of works.
- Mobilise specialist cleaning teams (carpet, floor care, high-level, deep clean, duct cleaning).
- Ensure correct machinery (scrubbers, carpet extractors, vacuums) is sourced and maintained.
- Oversee project timelines, risk assessments, and quality outcomes.
3. Site Surveys & Technical Assessments
- Conduct professional site surveys for new quotations or contract renewals.
- Measure areas, identify access issues, H&S risks, required machinery, and staffing levels.
- Provide survey notes, photos, and recommendations to sales and estimating teams.
- Support tender documents with operational and technical input.
4. Training & Development of Operatives & Supervisors
- Provide structured training for all cleaning operatives and supervisors.
- Deliver training on:
- Cleaning techniques (colour coding, periodic cleaning, specialist cleaning)
- Chemicals, COSHH, and dilution control
- Machinery use (scrubber dryer, buffer, extraction machines, etc.)
- H&S awareness, RAMS, accident prevention
- Customer service & on-site conduct
- Create training plans, logs, attendance records, and competency assessments.
- Upskill supervisors to manage their teams and deliver on-site leadership.
5. Client Relationship Management
- Act as main operational point of contact for assigned clients.
- Attend review meetings, provide KPI reports, and manage expectations.
- Resolve issues quickly and maintain strong client satisfaction and retention.
- Identify opportunities for upselling extra works or additional services.
6. Staff Management & Leadership
- Recruit, onboard, induct, and train new cleaning operatives and supervisors.
- Prepare rotas, organise cover for sickness/holiday, and manage staff attendance.
- Conduct site visits, check-ins, toolbox talks, and one-to-one performance reviews.
- Lead operational teams with professionalism and accountability.
- Manage performance issues, misconduct, or disciplinary matters (with HR support).
7. Health, Safety & Compliance
- Produce site-specific RAMS, COSHH assessments, toolbox talks, and safety documents.
- Ensure all staff follow safe systems of work, PPE, and cleaning protocols.
- Investigate accidents, incidents, and near misses with corrective action plans.
- Maintain compliance with ISO and SSIP frameworks.
- Ensure all equipment is serviced, PAT tested, and operating safely.
8. Mobilisation of New Sites & Contracts
- Lead full mobilisation activities for new cleaning contracts.
- Produce mobilisation plans, equipment lists, staffing plans, and service schedules.
- Conduct TUPE processes when required (with HR involvement).
- Ensure seamless and professional handover from sales to operations.
9. Administration & Reporting
- Maintain organised site folders, audits, training logs, and operational documents.
- Produce weekly performance updates for senior leadership.
- Track consumables, stock orders, POs, and supplier spending.
- Use Odoo ERP for tasks, CRM updates, site issues, and job logs.
- Ensure accurate reporting of hours, labour, attendance, and profitability.
SKILLS & EXPERIENCE REQUIREDEssential
- 2–5+ years' experience in cleaning operations, soft FM, or contract management.
- Experience managing large teams across multiple sites.
- Strong knowledge of cleaning methods, chemicals, machinery & specialist cleaning.
- Ability to train staff confidently and deliver professional development programmes.
- Experience carrying out site surveys and technical assessments.
- Strong client communication and relationship management experience.
- Full UK driving licence.
- Strong understanding of RAMS, COSHH, H&S, and compliance standards.
- Strong organisational and leadership skills.

- BICSc experience
- TUPE experience
- Industrial cleaning experience
- ISO familiarity (9001/14001/45001)
- BESA TR19 (duct cleaning) knowledge
