Trainee Portfolio Manager

Current work Location: 20a Manor Place, Edinburgh EH3 7DS.

Working week: 37.5 hours p/w; flexible out of hours/weekend work as required.

Holiday entitlement: 30 day, including 6 fixed Public Holiday days when the office is closed. 1LET staff also

receive an additional day for each full/continuous calendar year of service, subject to a maximum of 5 extr days.

Appointment period: Permanent position - subject to a six-month probationary period.

Reports to: Senior Portfolio Manager

Staff Bonus Scheme: 1LET operate a bonus scheme for all staff which is linked to the annual turnover of

the company. The scheme runs in line with the company's financial year and 1LET staff become eligible to

join the scheme after 1 full/continuous year of employment.

Life Insurance: The company offer Employee Life Insurance.

Job Purpose

As a Trainee Portfolio Manager, you will be part of the existing property management team with responsibility for all aspects of managing, maintaining, promoting and growing residential lettings and property management.

Full training in 1LET systems and procedures will be provided.

All 1LET Portfolio Managers are expected to work towards and achieve the NFOPP Technical Award in Residential Letting and Property Management (Scotland) within 18 months of appointment. This award is required for full Membership of The Association of Residential Letting Agents (MARLA). Training costs will be met by the company.

Main Responsibilities

● handling extensive telephone and email enquiries from customers, prospective customers and others.

● utilising extensive internally and externally designed IT and administrative systems and procedures.

● photographing properties, carrying out 360s, and preparing advertising schedules and internet adverts.

● visiting and inspecting rental properties and preparing landlord and maintenance reports.

● carrying out move-in inventories, interim property visits and end-of-tenancy reports.

● assessing, instructing and managing repairs and maintenance in line with legal compliance/best practice/high management standards.

● dealing with complex and demanding property repairs and problems.

● coordinating communal repairs in accordance with 1Let policies and procedures.

● processing new tenant applications/change of tenancies

● being familiar with legal and legislative information relating to residential letting.

● understanding, promoting and using the company's agreed letting policies and procedures.

● providing accurate and helpful information to other members of staff.

● communicating extensively with landlords regarding the property(ies) they own.

● communicating extensively with tenants regarding the rental property they occupy.

● preparing and distributing landlord packs and other marketing/promotional materials.

● attracting new management enquiries via a variety of promotional/sales activities.

● emergency out-of-hours phone line cover on a rota basis.

● showing properties to potential tenants.

Shared Responsibilities

● helping with a variety of practical tasks that are essential to the smooth running of

the office

● playing a full part in 1LET's inclusive teamwork approach

● helping maintain the office in an organised and tidy fashion

● contributing at staff and team meetings

Working Relationships & Contacts

You will be based in an open-plan office and will be working alongside other staff. You will also work closely with a number of suppliers and contractors who provide services to the company on a regular basis.
