Background to the Role
Due to the continued success of the business both in established and new market places, HCI Systems are looking to recruit an experienced and dynamic Project Coordinator to join our team. The ideal candidate will be responsible for overseeing multiple projects from the initial Request for Quotation (RFQ) stage through to delivery, ensuring timely completion, customer satisfaction, and business growth. This role requires strong project management skills, excellent communication abilities, and a proactive approach to managing client relationships.
Main Duties and Responsibilities
- Develop project plans, timelines, and budgets for multiple projects simultaneously.
- Coordinate with cross-functional teams, including engineering, procurement, and manufacturing, to create and maintain the production schedule, ensuring alignment on project objectives and timelines.
- Conduct regular kick-off meetings to communicate project scope, roles, and responsibilities to team members.
- Monitor project progress, tracking tasks, timelines, and budgets to identify potential deviations and take proactive measures to mitigate risks.
- Facilitate regular project status meetings, providing updates on progress, issues, and action items to stakeholders. Adjusting plans as necessary to ensure on-time delivery.
- Act as the primary point of contact for customers throughout the project lifecycle, addressing inquiries, providing updates, and managing expectations.
- Conduct regular meetings and status updates with clients to ensure alignment on project objectives, deliverables, and timelines.
- Proactively identify opportunities to enhance customer satisfaction and drive repeat business.
- For repeat customers and projects lead the RFQ process, engaging directly with clients to understand project requirements, provide estimates, and propose tailored solutions effectively communicating the company's value proposition.
- Identify and pursue new business opportunities within existing customers and ongoing projects.
- Work closely with senior management to support sales strategies and monitor progress towards business development goals.
- Assess project risks and develop mitigation strategies to minimize potential impacts on project timelines and budgets.
- Regularly review project performance metrics and KPIs to identify areas for improvement and implement process enhancements as needed.
- Maintain accurate project documentation, including project plans, budgets, change orders, and client communications.
- Forecasting future projects and sales per customer on the combined business sales pipeline.
- Generate regular reports on project status, financial performance, and customer feedback to internal stakeholders and senior management.
Who are we looking for?
Our ideal candidate is an experienced Project Coordinator with a proven ability to manage multiple projects and clients within a manufacturing or engineering environment. You will ideally hold a degree in Engineering, Business Administration, or a related field, and bring a strong understanding of project management methodologies, tools, and best practices. Youre a confident communicator with excellent interpersonal skills, able to engage effectively with clients, stakeholders, and internal teams at all levels. With a track record of driving business development and building long-term client relationships, youre commercially minded and proactive in identifying growth opportunities. Proficiency in MRP systems and Microsoft Office is essential, along with the ability to deliver results in fast-paced, technically complex environments.
