The Role

The Operations Assistant works in NCG Head Office, directly supporting and working with the Junior Summer School and Groups Manager to provide administrative support to the regional summer centres. This is a hybrid role with some in-office hours and some work-from home hours. There will be two Operations Assistants, who will take it in turns to work 'early' and 'late' shifts. As the role requires being at Head Office each week, candidates must be able to commute daily to central Manchester.

Duties:

  • Coordinating transfers of groups of students between airports and campuses.
  • Arranging and booking entrances to entertainment venues as well as transport and travel itineraries for excursions.
  • Being a point of contact for all staff, students and clients; often 'triaging' requests and questions and referring them to the relevant departments.
  • Communicating activities schedules and updating staff rota information.
  • Liaising with host venues to communicate and manage accommodation and catering needs and requests
  • Monitoring student locations using live GPS software
  • Working with the company database to ensure that all records are accurate, producing and sharing lists, registers, etc. as required.

The Academic Programme

Students attend classes for 3 hours either in the mornings or afternoons each week. The teaching programme runs on a 'zig-zag' system, where typically a class will have classes in the morning in week 1, and then in the afternoon in week 2 (and so on). Operations Assistants will not have many duties relating to the academic side of programme delivery.

The Activities Programme

The activities programme runs from 09:00 to 22:00 every day of the week. We offer a range of activities to meet the interests of international teenagers. The activities programme is enacted by the Centre Manager, who line manages the Activities Leaders. Mostly, activities are held on site at the university campuses, but there are also off-site activities (such as bowling and adventure golf), as well as excursions to local sites of interest as well as other cities. Most of your duties will revolve around the activities and excursions programmes.

Conditions of Employment

  • Operations Assistants are contracted to work 42 hours per week for regular hours, and we do not anticipate any need for overtime. However, should the need arise this will be paid at the end of contract.
  • After the training and induction period, the Operations Assistant role is almost entirely screen-based – you are not likely to be required to be physically present at either summer centre, but in some circumstance this may become necessary.
  • Operations Assistants report directly to the Junior Programmes Manager, but work to support all staff across all centres, and will be in near-constant contact and communication with large numbers of employees, students, clients and service providers.
  • While on duty, therefore, it is critical that Operations Assistants are ready and responsive to communications at all times.
  • Summer schools are high-pressure environments; this role requires candidates who can remain calm under pressure and who have strong interpersonal skills.
