Job Overview
We are seeking a highly motivated and organised Coordinator to join our team. The ideal candidate will possess excellent communication skills and the ability to multitask effectively in a fast-paced environment. This role requires a proactive approach to managing various tasks and responsibilities, ensuring smooth operations and high levels of customer satisfaction.
Key Tasks & Duties
- Management of all rotas for all services within FICS
- Liaising with the three Farnham GP practices regarding clinical rotas for FICS
- Responsibility for booking Locums when necessary to ensure continuous service for Practices and patients
- Creation and distribution of weekly Practice allocation lists
- Monitoring annual leave and sickness, including clinicians and staff
- Responsibility for booking and managing Health Checks into FICS as per Practice requirements
- Creating new clinic templates when required and maintain/edit current clinics
- Running relevant reporting for performance statistics
- Troubleshooting IT systems in accordance with FICS requirements
- Providing administrative support to FICS Manager if required
- Managing HR Admin for FICS/PCN staff, new recruits and clinicians working in FICS, including system access and induction programmes
Other Tasks & Duties:
- Attend staff meetings, mandatory training and other team/FICS events from time to time
- Maintain patient confidentiality at all times
- Maintain a high standard of accuracy for rotas for all services in FICS
- Maintain the security of the building and personnel by following correct procedures
- Other ad hoc duties as required and agreed with the FICS Services Lead

Skills/Experience/Knowledge:
- Customer service experience or working with the general public.
- Strong IT skills. Competence in the use of IT systems with the ability to learn new software quickly and accurately; a good working knowledge of MS Office and EMIS would be an advantage.
- Understanding of confidentiality. The post-holder will have a demonstrable understanding and appreciation of how all information from any source is protected, including confidential information relating to patients, their carers, FICS staff and other healthcare workers; information relating to FICS as a business organisation.
- A demonstrable knowledge of Health and Safety in the workplace and understanding of how to promote and maintain their own and others' health, safety and security.
- An understanding of the application of equality, diversity and rights of patients, carers and colleagues.
- A willingness and commitment to own continuing professional development including participating in training programmes implemented by the organisation.
- A commitment to maintaining quality within the organisation.
- An understanding of the importance of effective communication within the team.
- Legible handwriting.
Contracted Hours of Work:
FICS operates from Monday to Friday 8.00 am to 8.00 pm and Saturday mornings/afternoons with various shift patterns required to ensure service cover. It may be possible to work 2 shift patterns in one day subject to discussion. Flexibility to work additional hours is essential to cover holidays and sickness.
