Job Summary
We are seeking a skilled and detail-oriented Workshop Controller / Digital Garage Coordinator to manage the daily operations of our busy service centre.
The ideal candidate will have strong mechanical knowledge, organisational and technical knowledge, excellent communication skills, and experience working with digital workshop systems such as Garage Hive.
You will coordinate between mechanics, management, customers, and suppliers to ensure that all service, repair, and aftersales jobs are completed efficiently, accurately, and to the highest standard.
Duties
- Manage the daily workflow within the workshop using digital system Garage Hive.
- Allocate and schedule jobs for mechanics and external contractors.
- Create and maintain detailed job sheets, ensuring all required parts and tasks are recorded accurately.
- Review new stock vehicles and supplier notes to identify any required repairs, MOT advisories, or services, and schedule them accordingly.
- Maintain accurate records of parts, stock levels, and orders; ensure parts are logged to the correct jobs and unused items are removed from the system.
- Monitor progress on all ongoing jobs and provide daily updates to management.
- Communicate with customers regarding aftersales repairs, complaints, or service updates in a professional and helpful manner.
- Liaise with the sales team to coordinate preparation of vehicles for sale.
- Ensure workshop safety and quality standards are followed.
- Support continuous improvement in workflow efficiency and customer satisfaction.
- Conduct routine inspections of equipment to identify issues requiring repair or maintenance.
- Support the organisation's customer service by ensuring equipment operates efficiently and reliably.
- Maintain accurate records of repairs, maintenance schedules, and technical interventions.
Qualifications
- Proven experience with schematics interpretation and mechanical knowledge.
- Experience as a Workshop Controller, Service Advisor, or Garage Administrator (motor trade essential).
- Working knowledge of Garage Hive, TechMan, or similar workshop management software preferred.
- Understanding of vehicle servicing, MOT processes, and mechanical repairs.
- Strong organisational and multitasking skills with attention to detail.
- Excellent verbal and written communication; professional and calm under pressure.
- Confident using computers and maintaining accurate digital records.
- Strong assembly skills with a focus on precision and safety standards.
- Knowledge of equipment repair techniques and troubleshooting mechanical faults.
- Excellent organisational skills with attention to detail in record keeping.
- Good customer service skills with the ability to communicate technical information clearly.
- Relevant qualifications or certifications in mechanical engineering or related fields are advantageous.
