Job Summary

We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office by providing comprehensive administrative support. This position requires excellent organisational skills, attention to detail, and the ability to manage multiple tasks efficiently.

Duties

  • Perform clerical tasks, including filing, data entry, and maintaining accurate records.
  • Answer phone calls with professionalism and courtesy, demonstrating strong phone etiquette.
  • Manage correspondence and communications, both written and verbal, ensuring timely responses.
  • Utilise Google Suite for document creation, scheduling, and collaboration with team members.
  • Assist in the preparation of reports and presentations as needed.
  • Maintain office supplies inventory and place orders when necessary.
  • Support financial tasks using QuickBooks for invoicing and basic bookkeeping functions.
  • Organise meetings and appointments, coordinating schedules for team members.

Skills

  • Proficient in clerical duties with strong data entry skills.
  • Excellent phone etiquette and communication abilities.
  • Familiarity with Google Suite applications (Docs, Sheets, Calendar).
  • Strong organisational skills with the ability to prioritise tasks effectively.
  • Basic knowledge of QuickBooks is advantageous but not essential.
  • Competent in using various office equipment and computerised systems.
  • Ability to work independently as well as part of a team in a fast-paced environment.
