Program Manager

We are looking to hire an ambitious Program Manager to help enable the next phase of growth at Apex and to drive performance and operational excellence across our Operations and Technology functions. This role will report into the Global Head of Program Management & Governance.

What does a successful Project Manager do?

As a successful Project Manager this role will play a crucial role in the planning, execution, and completion of projects within a global context.

Your responsibilities will encompass managing and coordinating all project activities, from initiation to implementation. This includes project kick-off, requirements analysis, solution design, development, testing, production implementation, post-implementation review, status reporting, budget tracking, and capturing lessons learned. Additionally, you'll have the opportunity to lead and coordinate cross-company teams, ensuring successful project delivery.

Key responsibilities

  • Ensure all projects align with the organization's strategic goals. Work with senior management to define the program's vision, mission, and goals, and communicate these to project teams.
  • Develop comprehensive program plans outlining project scope, objectives, timelines, and resources. Coordinate with project managers to ensure projects progress according to plan.
  • Allocate people budget and resources to various projects. Monitor and adjust resource allocation to ensure efficient use and avoid overlap or wastage.
  • Identify potential risks early and develop mitigation strategies. Conduct risk assessments, monitor for new risks, and implement contingency plans to maintain program progress and avoid disruptions.
  • Serve as the primary contact for all stakeholders, including senior management, project teams, clients, and external partners. Ensure regular updates on program progress, challenges, and successes through meetings, status reports, and presentations.
  • Establish and maintain quality standards across all projects. Conduct regular quality audits, monitor deliverables, and implement corrective actions to ensure outputs meet desired quality levels and stakeholder expectations.
  • Manage changes to project scopes, timelines, or resources. Assess the impact of changes, obtain stakeholder approval, and communicate changes to project teams to ensure minimal disruption.
  • Continuously monitor project performance, track progress, measure effectiveness, and identify areas for improvement. Set performance metrics, conduct reviews, and provide feedback to project teams to ensure projects are completed on time, within budget, and to required quality standards.
  • Develop and manage the program budget. Monitor expenditures and ensure projects stay within allocated budgets. Proactively manage any financial issues that arise.
  • Provide leadership and guidance to project managers and teams. Serve as a mentor, offering support and advice. Foster a positive work environment, encourage collaboration, and recognise team achievements.
  • Commit to continuous improvement by regularly reviewing processes, identifying areas for enhancement, and implementing changes. Stay updated with industry trends, adopt best practices, and promote a culture of learning within the team.

Competencies and required experience

  • Proven experience in program or project management
  • Strong organizational and multitasking abilities
  • Excellent communication and leadership skills
  • Proficiency in project management software and tools
  • 3+ years of experience in the financial industry.
  • Advanced knowledge of project lifecycle methodologies.
  • Ability to gather, analyze, and interpret data, identify and define problems, and make recommendations for resolution.
  • Experience planning and proactively managing project financials/budgets, reporting progress, and ensuring profitability.
  • Proficiency with Project Management Tools including MS Project and Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Visio).
  • Confident and credible partnering with stakeholders and sponsors to MD level and driving broader business engagement in change

Qualifications and Skills

  • Six Sigma Yellow or Green belt certification ??????
  • Bachelor's degree in a relevant field
  • PMP certification.
  • Solid knowledge of and demonstrated experience in program management processes and methodologies.

Key KPIs:

  • Program Delivery Timeliness: Measures the ability of the Program Manager to deliver projects within the set deadlines. It includes tracking the start and end dates of each project within the program and ensuring that milestones are achieved on time.
  • Budget Adherence: This KPI evaluates how well the Program Manager manages the financial resources allocated to the program. It includes tracking expenses, comparing them against the budget, and ensuring cost-efficiency without compromising on quality.
  • Stakeholder Satisfaction: This KPI focuses on the satisfaction levels of all stakeholders involved in the program, including team members, clients, and executives. Regular feedback and surveys can be used to gauge stakeholder satisfaction.
  • Risk Management: Effective risk management is crucial for the success of any program. This KPI assesses the Program Manager's ability to identify, analyse, and mitigate risks that may impact the program's objectives. It includes the number of risks identified, mitigated, and their overall impact on the program.
  • Quality of Deliverables: This KPI measures the quality of the outcomes produced by the program. It includes evaluating the deliverables against predefined quality standards and ensuring they meet or exceed expectations.
  • Resource Utilization: Resource utilization KPI evaluates how effectively the Program Manager allocates and uses the resources (human, financial, and material) available for the program. It includes tracking resource allocation, usage efficiency, and minimizing wastage.
  • Change Management: Change is inevitable in any program. This KPI measures the Program Manager's ability to handle changes efficiently without disrupting the overall program. It includes tracking the number of change requests, their impact, and the effectiveness of change implementation.
  • Communication Effectiveness: Effective communication is key to successful program management. This KPI assesses the Program Manager's ability to communicate clearly and effectively with all stakeholders. It includes the frequency, clarity, and effectiveness of communication.
  • Team Performance: This KPI focuses on the performance and morale of the program team. It includes evaluating team productivity, collaboration, and overall job satisfaction. High team morale often leads to better performance and successful program outcomes.
  • Program ROI (Return on Investment): This KPI measures the financial return generated by the program compared to the investment made. It includes analyzing the program's financial benefits, cost savings, and overall value delivered to the organization.
