Role Overview

We are looking for a highly organised, professional and proactive Medical Secretary to support our clinical and administrative teams.

The successful candidate will be responsible for managing patient correspondence, coordinating referrals, maintaining medical records, and ensuring smooth day-to-day communication between patients, clinicians, and third-party providers.

This role requires excellent attention to detail, strong communication skills, and the ability to thrive in a high quality, patient-focused environment.

Key Responsibilities

  • Typing and preparing clinical letters, medical reports, and referral documents.
  • Managing incoming and outgoing patient correspondence (emails, phone calls, letters).
  • Processing referrals and coordinating with private hospitals, consultants, and allied health professionals.
  • Ensuring medical records and patient notes are accurately maintained and updated.
  • Liaising with GPs, consultants, and administrative staff to facilitate timely care.
  • Managing confidential patient information in line with GDPR and practice policies.
  • Supporting the wider administrative team with tasks such as appointment scheduling and document handling.
  • Maintaining efficient filing and document tracking systems.
  • Assisting with invoicing and insurance documentation where needed.

What We're Looking For

Essential:

  • Previous experience in a medical secretarial or healthcare administrative role.
  • Fast and accurate typing skills (audio and/or copy typing).
  • Excellent written and verbal communication.
  • High level of discretion and confidentiality.
  • Proficient in Microsoft Office, CRM software and comfortable using electronic medical records.
  • Ability to prioritise workload and multitask effectively.

Desirable:

  • Knowledge of private healthcare and private referral pathways.
  • Familiarity with Semble & (training will be provided).
  • Medical terminology training or qualifications (e.g. AMSPAR).

Job Types: Full-time, Permanent

Pay: £14.00 per hour

Expected hours: 37.5 per week
