Operations Manager

General Summary: Reporting to the Managing Director, the Operations Manager will be responsible for the day to day running of all the Flying Bean Cafe coffee shops (containers, retail shops, and train station kiosks and vans) to ensure each site is achieving agreed KPIs. You will lead by example, and set high standards, and ensure each site is working hard to deliver outstanding customer service, whilst also meeting all compliance and hygiene regulations.

Duties & Responsibilities:

Staff Management:

· Visit each coffee shop on a regular basis to develop strong relationships with each of the coffee shop managers and team members.

· Carry out all forms of training (for existing and new staff) including opening and closing checks, training on how to make all food items e.g sandwiches, paninis etc., barista training for new staff, as well as refresher training for existing staff to maintain high coffee standards.

· Work closely with all team members to make sure all food is prepared in the same way so we have consistency across sites.

· Manage the recruitment process for all new staff including writing job descriptions, setting up and conducting interviews (with Café Managers) and making job offers (where applicable)

· Holiday Management and Cover: Monitoring and coordinating holiday including covering managers and team members when needed due to sickness or holiday. This also includes liaising with Head Office and sharing holiday calendars.

· Ensure the profitability of the coffee shops by growing sales and ensuring each one stays in line with its allocated salary budget and other associated costs.

· Support all teams as necessary in all aspects of the site. So in manager support, staff training, staff covering and/or arranging sickness cover at short notice to ensure business operations continue.

Compliance with legislation:

· Ensure all coffee shops without exception, comply with all legislation with an emphasis on food hygiene and Health & Safety

· Management of all allergen information to ensure we comply with all legislation. This includes updating and adding new labels to the label printer as and when needed. As part of the regular store visits, please check that all food is labelled correctly.

Stock Management

· Regularly check with Managers on Inventory levels

· Carry out checks that supplies are being ordered from the correct supplier

· Regular checks on order forms and guidance to eliminate errors and last minute orders being made.

Management of New Sites

• Manage the end to end process of opening a new site including recruiting staff, setting up equipment, staff training etc.

• Work at the new site until it is up and running to allow for a smooth transition and training with the new staff.

Reporting

· Manage, maintain and evaluate the performance of all Flying Bean coffee shops and provide feedback for team members on improvements.

· Monitor waste management and make recommendations to ensure wastage is kept to a minimum.

· Monitor and maintain costs allocated to each coffee shop, through good management practices and team management

· Compile monthly store reports including sales figures, information on best/worst seller etc. This report will then inform future decisions.

· Set achievable targets for each coffee shop on a monthly basis

· Conduct an annual review of each coffee shop and report back to management giving recommendations and suggestions for improvements.

· Complete regular competitor visits to identify trends and opportunities

Other

· Create a management file for each site with information on the day to day operations. This will include information that is unique to that site as well as standard operational information.

· Management of all tills including till layout, new product information etc.

· Plan and manage the (Quarterly) Managers meeting.

· Regularly review of the menus and food offering. Implement an annual menu planner with seasonal food items such as Christmas, Easter products etc.

· Ensure excellent customer service is been delivered at each coffee shop

· Work closely with the senior leadership team of Jo (admin), John (buying & suppliers), Jocelyn (Marketing) and Tom (Founder)
