We are now seeking an organised, professional and customer-focused Reception & Parts Advisor to join our Bodyshop team.

Role Overview

As the Reception & Parts Advisor, you will be the first point of contact for customers visiting or contacting our Bodyshop. You will handle all aspects of customer service and parts coordination, supporting the smooth running of repair operations from initial booking through to vehicle handover.

This dual role combines front-of-house duties with parts administration, requiring excellent communication skills, attention to detail, and the ability to work efficiently within a busy workshop environment.

Key Responsibilities

Greet customers in a professional and friendly manner, ensuring a positive first impression.

Manage incoming calls, emails, and customer enquiries regarding repair estimates, progress updates, and collection.

Book in vehicles for repair.

Keep customers informed throughout the repair process, ensuring excellent communication and satisfaction.

Handle payments and process invoices in line with company procedures.

Support the Bodyshop Manager with administration and coordination tasks as required.

Identify, order, and receive vehicle parts required for repairs using manufacturer or supplier systems.

Check incoming parts deliveries for accuracy and quality.

Allocate parts to the correct job cards and update stock records.

Liaise with technicians to ensure timely parts availability to support workflow.

Manage parts returns, credits, and warranty claims in line with policy.

Maintain stock control, ensuring accurate inventory and housekeeping of parts areas.

Skills & Experience

Previous experience in a Bodyshop, Parts, or Automotive Reception role (dealership experience desirable).

Strong customer service and communication skills, both verbal and written.

Excellent organisational and multitasking ability.

Good IT literacy, proficient in MS Office and dealership DMS systems.

Understanding of vehicle parts identification and ordering processes.

A professional, approachable manner and a genuine passion for delivering great service.

Full UK driving licence.
