Your Role

Due to continuing business growth, we have an opportunity for a People Coordinator to join our People and Culture team to support the business as we continue our journey of growth.

You will work within the People and Culture Team, supporting the People Advisor and the Head of People and Culture with effective and efficient administrative support across daily and project-led activities, enabling the team to deliver efficient support to the wider business and ensuring our activities remain compliant.

Day to day, your role will support the team, across all areas of our people life-cycle; talent acquisition (recruitment), onboarding, employee relations, reward, engagement, policy, training, HRIS data input and underpinning everything we do with compliance.

Your Responsibilities

Administrative Support:

  • as the first point of contact for daily people-related queries, via the telephone or in person, you will provide practical guidance or signpost to your wider team for further advice/support
  • support administration of people-related documentation, including development of offer letters, contracts of employment and changes to terms and conditions letter
  • support the wider team with administrative input into the HRIS (sickness absence, disciplinary, performance management)
  • Input/update employee records on the HRIS, ensuring that they are all up to date and accurate and promote the employee self-service aspects (address change etc)
  • ensure that materials are prepared in advance for all internal training sessions
  • support HR projects
  • provide administrative support to develop a wide range of wellbeing information and resources, alongside targeted initiatives and events to promote health and wellbeing
  • support the administration of the HR task-management system, including assigning tasks, preparing documents and reports
  • coordinate and administer our employee benefits, including handling queries, processing requests and reporting on usage.
  • support the performance management cycle with the wider team and ensure it is scheduled in the HRIS

Employee Relations:

  • provide administrative support for people management processes such as performance management, investigations, disciplinary, grievance, capability and absence management.
  • attend meetings where required for note-taking and prepare records of conversation.
  • ensure all meeting actions are diarised and followed-up and completed in a timely manner.
  • liaise with our external Occupational Health (OH) team to schedule a OH appointment and process a referral to help our team back to work safely, following any sickness absence
  • initiate sickness absence return to work meetings for line managers through the HRIS
  • support employee voice mechanisms (employee engagement surveys)

Compliance:

  • review any changes to policies, ensuring compliance with ISO and develop/update process maps to support line managers and push communication through the HRIS
  • promote our positive culture when communicating new policies and processes

Talent acquisition (recruitment) and retention:

  • support amendments to new or updated job descriptions
  • assist with the selection activities of roles being advertised by the business
  • arrange job interviews with shortlisted candidates
  • support line managers during the interview process, with note-taking /scoring
  • complete right to work and DBS checks as part of pre-onboarding activity and ensure that the HRIS is updated at every stage
  • ensure as part of the onboarding process, you liaise with the wider business team to ensure that new employees receive everything they need on day one
  • update the People and Culture induction presentation/plan where required

Professional Development:

  • keep up to date with developments in employment people practice and UK employment legislation by attending courses, conferences, events, webinars and reading industry updates etc.

About You

Essential:

  • Comfortable working in a fast-paced environment with the ability to deal with rapidly changing business conditions
  • Can demonstrate strong knowledge of current employment legislation
  • Can demonstrate efficient management of Employee Relations Casework (Disciplinaries, Grievances, Absence, Performance)
  • Familiar with HRIS and other HR technology tools that streamline HR processes and improve data management.
  • Proficient user of Microsoft tools (Excel, Word, PowerPoint)
  • Proven ability to maintain confidentiality in any environment
  • Proven ability to communicate effectively with staff at all levels
  • Proven excellent communication skills, both written and spoken
  • Can demonstrate a proactive, positive and pragmatic approach to any problems, always demonstrating integrity and professionalism
  • Can demonstrate the ability to work in a multi-task environment
  • Level 3 CIPD Qualification/or equivalent demonstrable experience

Desirable:

  • Proven experience within the Construction or Electrical industry
  • Proven ability of developing data-driven reports

People Advisor package

Salary:

£32,000-£36,000 per annum (dependent on experience)

Hours:

25-30 hours a week, Monday - Friday (core hours 9:30 am -2:30pm)
