About the Role

The Event Coordinator is a dynamic role focused on planning, organising, and executing events from start to finish. This position requires excellent organisational and communication skills to manage all aspects of an event, including venue selection, vendor negotiations, budgeting, and some on-site logistics.

The coordinator serves as the primary point of contact between clients, suppliers, and internal teams, ensuring every detail aligns with the event's goals and exceeds participant expectations.

With a proactive approach and strong problem-solving abilities, the Event Coordinator is responsible for anticipating challenges and adapting plans to deliver seamless, memorable events that enhance the organisation's brand and objectives.

Key Responsibilities

  • Supporting Senior Event Operations Manager, working across multiple projects
  • Supporting with information for proposals
  • Collaborative working with clients on shared Smartsheet's
  • Delegate management including dealing with enquires
  • Rooming list management
  • Contracting
  • Supplier liaison
  • Administration duties including managing and updating databases
  • Supporting with budgets and cost tracking
  • Supporting with on-site delivery

Skills & Experience

  • Experience in Event Planning:
    Background in event planning, hospitality, or project management with a history of executing successful events.
  • A minimum of three years' experience in an agency environment is required.
  • Organisational Skills:
    Excellent time management and multitasking abilities, with strong attention to detail.
  • Communication & Interpersonal Skills:
    Effective verbal and written communication skills to liaise with clients, vendors, and internal teams.
  • Budgeting & Resource Management:
    Proficiency in creating and managing budgets and ensuring cost-effective resource allocation.
  • Vendor & Negotiation Skills:
    Experience negotiating with suppliers and vendors to secure favourable terms and quality services.
  • Technical Proficiency:
    Familiarity with event management software and tools to streamline planning and execution.
  • Problem-Solving & Adaptability:
    Creative and proactive in addressing challenges, with the ability to adapt quickly under pressure.

What to expect from the recruitment process

  • Every hire starts with a chat with our Talent Acquisition team, if your profile is selected you will be contacted by phone or email (please check your spam folder);
  • Then, if you are progressing, the hiring manager will invite you to an interview, usually on Teams;
  • If you are successful we will invite you to our office for a final stage interview.

Wherever possible we will provide you with feedback, however we are a small team and often we won't be able to do so until after we fill the vacancy.
