Job description - Executive Personal Assistant

Requirements:

  • Fluent in Mandarin and English (both written and spoken). Cantonese would be a plus.
  • Proven experience as a Personal or Executive Assistant supporting senior-level executives. Supporting both professionally and with personal aspects of the directors' home life.
  • Excellent time management skills with the ability to prioritize tasks and meet deadlines.
  • High level of discretion and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Experience managing international travel and scheduling across multiple time zones.
  • A proactive problem-solver with excellent attention to detail.
  • Office based role located in Southport.
  • Salary £25,000 - £30,000 per Annum
  • Knowledge or passion for the audio industry is a plus.

Key Responsibilities:

  • Manage executive calendars, schedule appointments, and arrange meetings
  • Communication: Act as a point of contact for internal and external stakeholders, ensuring effective communication across all levels of the organization
  • Financial Oversight: Work with the finance department to manage budgets, office expenditures, and related tasks.
  • Coordinate domestic and international travel, including flights, hotels, and ground transportation
  • Answer and screen phone calls, emails, and other correspondence on behalf of the executive team
  • Prepare and edit correspondence, reports, and presentations
  • Assist with the preparation of materials for meetings, including agendas, reports, and other documents
  • Conduct research on various topics as assigned by the executive team
  • Assist with special projects as needed, including event planning and coordination
  • Possible out of hours work, to support with the different time zones. Normal hours Monday to Friday 9-5

Role Overview

We are seeking a highly organised and proactive Executive Personal Assistant to support two company directors at a leading audio company based in Southport. The directors travel regularly and are fluent Cantonese speakers, so proficiency in Cantonese is highly desirable. This is a dynamic role that requires a skilled individual who can manage complex schedules, handle confidential information, and provide comprehensive support both in the office and remotely when necessary.
