The Role

We are looking for an experienced
Office Manager
to oversee our office operations and facilities functions. In this role, you will manage our Croxley Green office and remotely manage our Coventry office ensuring a professional and efficient working environment. The position will also involve travel to Coventry, ideally once a week.

You will act as the key interface between our business and a range of internal and external stakeholders — delivering excellence in facilities management and administration, while managing a small team of three to support day-to-day operations

Key responsibilities:

Facilities Management

  • Liaise with landlords on building maintenance, security, and leases
  • Oversee facilities and maintenance schedules to ensure high standards
  • Responsible for managing and renewing all company insurance policies, ensuring appropriate coverage is maintained and compliance requirements are met.
  • Maintain responsibility for office security and act as keyholder
  • Oversee external cleaning and vehicle fleet management contracts

Health & Safety

  • Develop and implement H&S policies in partnership with external consultants
  • Promote safe working practices and coordinate training (e.g. fire safety, first aid)
  • Act as the lead fire marshal and first aider
  • Conduct risk assessments, audits, and accident investigations
  • Maintain and manage all H&S and compliance records
  • Responsible for compiling and presenting quarterly Health & Safety reports to the SLT, ensuring key risks, incidents, and compliance updates are accurately communicated.

Office Management

  • Provide assistance with diary management and travel arrangements when required
  • Direct line management of the office support team, including appraisals, development, and performance reviews
  • Oversee front-of-house operations, meeting room management, and reception coverage
  • Support with planning company-wide events and staff engagement activities
  • Lead continuous improvement of office services and administrative processes

Skills & Experience require:

  • Proven Office Management experience in a medium to large environment
  • Team management and remote management experience
  • Confident communicator with experience engaging stakeholders at all levels
  • Excellent working knowledge of Microsoft Teams and Outlook.
